Medical Secretary / Practice Administrator – Private Cardiology Practice

Permanent, Part-Time | 20 hours per week | Tuesday, Wednesday & Thursday | Cork

€18.50–€21.50 per hour

We are looking for an experienced and capable Medical Secretary / Practice Administrator to join our private cardiology practice in The Cork Clinic on Western Road, near the Bon Secours Hospital campus in Cork.

This is a varied and responsible role within a small specialist practice. The position reports to the Practice Manager and works closely with the consultant, practice nurse and wider administrative team.

Previous healthcare experience would be an advantage, but it is not essential. We are equally interested in an accomplished administrator or secretary from another professional environment who has strong transferable skills and the aptitude to learn the medical aspects of the role.

The Role

The role involves helping to keep a busy specialist practice running smoothly and providing a professional and helpful service to patients.

Key responsibilities include:

Coordinating appointments and outpatient clinics
Managing patient enquiries by telephone, email and in person
Preparing clinics and providing administrative support to the consultant
Preparing and processing medical correspondence, referrals and other documentation
Maintaining accurate patient records and information
Coordinating investigations, diagnostic tests and follow-up appointments
Liaising with GPs, hospitals, consultants and other healthcare professionals
Keeping track of correspondence, results, requests and outstanding matters, and directing or escalating these appropriately
Processing patient fees, invoices, payments and receipts
Supporting the wider administrative needs of the practice and handling confidential information appropriately

We also value people who think about how things are done. If a process could work better or there is a more efficient way of doing something, we want someone who will notice and be comfortable suggesting an improvement.

Finally, this is a small team. Being a supportive and considerate colleague matters to us. Everyone has their own responsibilities, but we work together and help one another when things are busy.

About You

Essential:

At least two years’ relevant administrative, secretarial or comparable professional experience
Strong organisational skills and the ability to manage competing demands
Excellent written and verbal communication
Accuracy, attention to detail and good general IT skills
Initiative, sound judgement and a professional manner
Ability to handle confidential and sensitive information appropriately

Desirable, but not essential:

Medical or healthcare administration experience
Experience in a consultant-led or private medical practice
Familiarity with medical terminology and correspondence

Training in our practice systems and processes will be provided.

Hours, Salary & Benefits

This is a permanent, part-time position of 20 hours per week, worked across Tuesday, Wednesday and Thursday.

There can be some flexibility around start and finish times by agreement, provided the needs of the practice are covered.

€18.50–€21.50 per hour, depending on relevant experience and broadly aligned with the HSE Clerical Officer Grade III scale

Annual leave equivalent to 22 days per year for a full-time 35-hour week, pro rata

There isn’t necessarily one correct order but briefly explain how you would assess the situation, decide what to deal with first and make sure nothing is overlooked.

4. Tell us about a time when you noticed that something had been missed, was incorrect or could have been done better. What did you notice, what did you do, and what was the outcome?
