Club Spraoi School Age Childcare Services

Pay: €15.00–€16.00 per hour, depending on experience
Hours: Approximately 30 hours per week
Schedule: Monday to Friday, with hours worked between 9:00am and 5:30pm
Location: Remote
Contract: Fixed-term (6 months)

About the Role

Club Spraoi School Age Childcare Services is looking for an organised and reliable Billing & NCS Administration Assistant to join our administration team.

The successful candidate will work alongside our existing Billing & NCS Administrator, providing support with parent billing, childcare bookings and administration of the National Childcare Scheme (NCS).

This is a fully remote administrative position. Previous experience with the National Childcare Scheme or Early Years Hive would be a strong advantage; however, it is not essential, and training will be provided to the right candidate.

Key Responsibilities

Billing & Parent Accounts

Assisting with the preparation and processing of parent invoices
Maintaining accurate parent account and billing information
Responding to parent queries relating to invoices, bookings and NCS subsidies
Assisting with billing queries and account adjustments where required

National Childcare Scheme (NCS)

Processing and managing NCS claims through the Early Years Hive
Adding new NCS claims and updating existing claims
Monitoring NCS information and ensuring claims and records are kept accurate and up to date
Assisting parents with NCS-related queries
Supporting the administration of NCS across Club Spraoi services

Bookings & Administration

Creating childcare bookings for parents
Processing booking changes and cancellations
Updating booking and account information accurately on our childcare management system
Maintaining accurate administrative records
Providing general administrative support to the Billing & NCS function as required

What We Are Looking For

Previous administration experience
Excellent organisational and time-management skills
Excellent attention to detail and a high level of accuracy
Strong computer skills and confidence learning new online systems
Working knowledge of Microsoft Office
Good numerical skills and confidence working with invoices and account information
Excellent written and verbal communication skills
Ability to work independently and use initiative
Professional, approachable and reliable
Strong understanding of confidentiality and the importance of handling personal and financial information appropriately

Previous experience with any of the following would be particularly desirable:

National Childcare Scheme (NCS)
Early Years Hive
Childcare management or booking systems
Billing, invoicing or accounts administration
Administration within the Irish childcare sector

Experience within the childcare sector is desirable but not essential. We are primarily looking for someone with strong administrative skills who is accurate, organised and confident working with systems and figures.

Hours & Contract

This is an initial 6-month fixed-term position, with approximately 30 hours per week available.

Hours will be worked Monday to Friday and scheduled between 9:00am and 5:30pm. The position is fully remote.

There is a strong possibility of the position being extended beyond the initial six-month contract. The longer-term hours and requirements of the role will be reviewed towards the end of the fixed term, based on the ongoing needs of the business.

Pay

€15.00–€16.00 per hour, depending on experience.

Candidates with relevant NCS, Early Years Hive, billing or accounts administration experience may be considered towards the higher end of the range.
