About The Role

We are currently seeking a professional, organised, and customer-focused Facilities Control Room Operators to join our team for a new contract.

Job Summary

The Facilities Control Room Operator is responsible for monitoring facility systems, coordinating maintenance and operational activities, managing service requests, and supporting the safe and efficient operation across a multi-site portfolio. Acting as the central point of contact for facilities-related issues, the successful candidate will monitor alarms and building systems, respond to incidents, coordinate contractors and service providers, and ensure all activities are accurately recorded and managed in accordance with operational procedures.

This role requires excellent communication skills, attention to detail, strong organisational abilities, and the ability to remain calm and effective in a fast-paced environment.

Key Responsibilities

Operations Management

Monitor Building Management Systems (BMS), CCTV, access control systems, fire alarm systems, and other critical infrastructure.
Respond promptly to operational alerts, alarms, incidents, and service disruptions.
Log, track, and update incidents, faults, and maintenance requests through the Computer-Aided Facilities Management (CAFM) system.
Coordinate reactive and planned maintenance activities with engineers, contractors, and service providers.
Escalate critical issues in accordance with site-specific procedures and service level agreements (SLAs).
Maintain accurate records of all operational activities, incidents, and communications.
Conduct system checks and report faults or abnormalities to the appropriate teams.
Support continuity of service through effective shift handovers and communication.

Incident and Emergency Response

Act as the first point of contact for facilities-related incidents and emergencies.
Coordinate responses to fire alarms, system failures, security incidents, utility outages, and other operational disruptions.
Maintain communications with emergency services, site management, contractors, and key stakeholders during incidents.
Assist in implementing business continuity and emergency response procedures.
Participate in emergency drills and support post-incident reporting and investigations.

Facilities Coordination

Dispatch maintenance personnel and service providers as required.
Monitor contractor attendance and completion of assigned works.
Track progress of work orders and ensure timely closure of maintenance requests.
Liaise with clients, building occupants, security teams, and operational departments to provide updates on service issues.
Support the delivery of agreed facilities management service levels.

Compliance and Reporting

Ensure compliance with company policies, site procedures, and health and safety requirements.
Maintain detailed records of alarms, incidents, maintenance activities, and service requests.
Produce reports and provide operational updates as required.
Support audits, inspections, and compliance reviews.
Follow data protection and information security procedures when handling sensitive information.

Skills and Experience

Essential

Previous experience in a control room, facilities management, helpdesk, operations centre, customer service, or similar environment.
Knowledge of Building Management Systems (BMS), alarm monitoring systems, or related building technologies.
Excellent communication skills, both written and verbal.
Strong organisational and administrative skills.
Ability to work effectively under pressure and make informed decisions.
Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and Teams.
Strong attention to detail and problem-solving skills.
Ability to manage multiple tasks and competing priorities.

Desirable

Experience using CAFM systems.
Understanding of health and safety legislation and safe systems of work.
Experience within a corporate, commercial, manufacturing, pharmaceutical, or data centre environments.
