O'Briens Mullingar

O'Briens Mullingar are the main dealer for Hyundai, Renault, Dacia and MG Motor in Westmeath.

We are looking for a friendly, professional and proactive Service Receptionist to join our busy Service Department in Mullingar.

The successful candidate will be responsible for handling incoming calls, making service bookings, following up missed calls and ensuring customers receive a professional and efficient experience from their first interaction with us.

Key Responsibilities

Answer all incoming calls to the Service Department in a friendly and professional manner.
Identify the customer's requirements and either transfer the call to the appropriate member of the team or take a clear and accurate message.
Book customers into the Service Department, gathering all relevant vehicle and customer information at the time of booking.
Check for any outstanding manufacturer recalls and ensure these are identified and included in the booking where applicable.
Complete service bookings accurately and efficiently, ensuring all necessary information is recorded.
Return missed calls promptly and follow up customer enquiries.
Contact customers whose parts have arrived and arrange appointments for the parts to be fitted.
Manage multiple calls and customer requests while maintaining a high standard of customer service.
Liaise with Service Advisors, Workshop Controllers, Parts and other departments to ensure customers are looked after efficiently.
Keep customer and booking information accurate and up to date on our systems.
Assist with general administration within the Service Department as required.
Contribute to maintaining a positive, organised and professional service reception environment.

The Person We're Looking For

We are looking for someone who is:

Friendly, polite and approachable, with excellent communication skills.
Proactive and willing to take ownership of tasks rather than waiting to be asked.
IT literate and comfortable learning new computer systems and processes.
Highly organised with excellent attention to detail.
Able to multitask and prioritise effectively in a busy environment.
Comfortable working under pressure while maintaining a professional manner.
A good listener who can quickly understand what a customer needs.
Confident dealing with customers over the phone and face-to-face.
A team player who is willing to support colleagues across the Service Department.
Reliable, punctual and professional in their approach.
Willing to learn – previous motor industry experience is an advantage but is not essential.
