RECEPTIONIST – CELESTE MEDICAL

Celeste Medical | Douglas, Cork

Celeste Medical is an established advanced aesthetic medical clinic based in Douglas, Cork. We are looking for an enthusiastic, professional and highly organised Receptionist to join our team.

This is an exciting opportunity for someone who enjoys working in a fast-paced, patient-focused environment and takes pride in delivering an exceptional five-star experience from the moment a patient contacts the clinic.

Key Responsibilities

- Welcoming patients to the clinic in a warm, professional and friendly manner.
- Managing all incoming and outgoing patient communication, including telephone calls, emails, social media and online enquiries.
- Managing a busy appointment diary and coordinating bookings across our clinical team
- Providing patients with clear and professional information regarding treatments, appointments and clinic policies.
- Managing patient journeys from initial enquiry through to treatment and follow-up.
- Processing payments, deposits, cancellations and rescheduling.
- Maintaining accurate patient records and ensuring all information is handled confidentially and in accordance with GDPR.
- Managing patient consent forms, medical histories and relevant documentation.
- Supporting the clinical team with day-to-day administrative requirements.
- Assisting with stock control, ordering and general clinic administration.
- Supporting the management of the clinic's booking system and patient database.
- Assisting with treatment promotions, loyalty programmes and clinic events.
- Supporting the wider team with marketing and social media administration where required
- Maintaining a consistently high standard of presentation throughout the reception and patient areas.
- Handling patient queries and resolving concerns in a professional and reassuring manner.
- Carrying out end-of-day reception and administrative duties.
- Other ad hoc administrative duties as required.

The Ideal Candidate

We are looking for someone who is:

- Warm, friendly and naturally welcoming.
- Highly organised with excellent attention to detail.
- Confident communicating with patients both face-to-face and over the phone.
- Professional, discreet and understands the importance of patient confidentiality.
- Comfortable working in a busy clinic environment.
- Confident using IT, booking systems and Microsoft Office.
- Numerate with strong administrative and organisational skills.
- Able to multitask and prioritise effectively.
- Proactive and able to use their own initiative.
- A strong team player who enjoys working collaboratively.
- Passionate about providing an exceptional patient experience.
- Interested in aesthetics, skincare, beauty and the medical aesthetics industry.

Experience

Previous experience in medical, aesthetic, dermatology, beauty, dental or healthcare reception would be highly advantageous.

Experience with clinic booking systems, patient administration or customer service is desirable.

A medical secretary or healthcare administration qualification would be an advantage but is not essential.
