Full job description

Title: Research Support Coordinator

Reports to: Head of Research

Contract type: Specific Purpose Contract – MAT leave cover

Hours: Full-time 35hrs per week - Mon - Fri 9am to 5pm

Location: The Society operates a hybrid working model with a combination of remote and in-person (Dublin 4 office) working

Office Days: Office attendance days are Wednesday Thursday

Salary: €37,000 per annum

Who we are:

At the Irish Cancer Society, we have a vision that by 2025, 3 out of 4 Irish cancer patients will survive their diagnosis and everyone affected by the disease will have access to world-class treatment, care and support.

A key priority for achieving our vision is to increase our investment in world class cancer research. As the largest voluntary funder of cancer research in Ireland, every year, we fund patient-focused cancer research from translational and clinical projects in areas such as early detection, novel cancer treatments and clinical trials, right through to research focussed on cancer prevention, improvements in care, wellbeing and outcomes of those living with, through and beyond a cancer diagnosis, in addition to research to support those at end of life.

This position will be central to the delivery of our cancer research vision, and the individual appointed will play a central role in coordinating and supporting the day-to day operations of a busy research department to help us deliver and communicate our ambitious research strategy.

Overall Responsibility

Work with the the Head of Research to support the day-to-day administration of a busy and dynamic research department.
Coordination of the research departments external communications and media outputs.
Organisation of internal and external research events and training across a diverse range of stakeholder groups.
Coordination of the research departments public and patient partnership activities and funding opportunities

Research Administration

Coordinate the day to day management of the department finances, invoices and research grant payments.
Assist in the administration associated with grant call development and the post-award aspects of research grants.

Work with the Head of Research to provide administration support for the departments PPI activities and grants.
Manage departmental memberships and subscriptions as required.
Collection and maintenance of records of internal and external research outputs and metrics.
Maintain records of information requests and ad hoc requests and compile reports where required.
Prepare regular research updates for the Executive Leadership Team meetings and Board meetings.
Management of the research departments GDPR requirements.

External Department Communications Media Outputs

Coordinate the Society’s research communication activities through various media platforms.
Coordination of the Research Departments monthly newsletter.
Work with the Irish Cancer Society Communications and Branding Teams to prepare the research departments public promotional material including pamphlets, email, web content, and videos.
Represent the research department on internal and external groups.
Deal with internal and external queries and process phone, post and email messages.

Event Management

Organisation of internal and external research events such as conferences, workshops, webinars and meetings.
Coordinate the set-up of information stands at research events.
Represent research department at external conferences and events.

Your qualifications and experience

At least three years’ experience in a similar role with proven excellent administration skills.
Previous experience with financial administration and management.
Proven technological proficiency and computer literacy, including databases, spreadsheets, word processing, email, internet and electronic research administrative systems.
Previous experience with planning and management of events and workshops.
Excellent communication skills both written and oral and the ability to generate reports.

Nice to have:

Experience in developing content for website presentation.
An understanding of General Data Protection Regulation (GDPR) and its implications for the external communications of an organisation.

Person Specification

Team player who is highly driven, self-motivated and ambitious.
Excellent interpersonal skills, an attentive listener with the ability to act empathetically and appropriately with staff, senior managers, members of the public and people affected by cancer.
Display the highest degree of professionalism, integrity and confidentiality at all times.
Ability to cope with ambiguity and change and meet deadlines in a high pressured environment.
Ability to manage competing priorities, demonstrating initiative and an ability to work independently.
High level of organisational ability, accuracy, and attention to detail.

Ability to collaborate with other teams.
Flexibility to be able to support evening work-related events approximately 5-6 times per year.

The Irish Cancer Society operates a no-smoking policy and the post holder must not smoke in the office or when on Society business outside the office.
