Full job description

Cooley Healthcare is seeking a professional, organised and customer-focused Receptionist / Administrator to provide high-quality reception, administrative and sales support across the business.

This is a varied front-of-house role and will suit someone who enjoys working with people, is comfortable managing a busy workload and takes pride in providing excellent service. The successful candidate will be an important first point of contact for customers, visitors and suppliers, while also supporting the sales team and wider office with day-to-day administration.

Key Responsibilities - Reception & Front of House

Act as the first point of contact for visitors, customers and suppliers, providing a professional and welcoming experience.
Manage incoming telephone calls, taking accurate messages and directing enquiries to the appropriate person or department.
Welcome visitors and ensure they are directed or assisted promptly.
Maintain a professional, organised and presentable reception and front-of-house area.
Manage incoming and outgoing post, couriers and deliveries.
Respond to general email and telephone enquiries in a helpful and professional manner.
Assist customers with general queries and ensure enquiries are followed through or passed to the appropriate team member.

Sales Support

Provide day-to-day administrative support to the sales team.
Assist with customer enquiries and follow-up as required.
Prepare and process sales-related documentation, quotations, orders and correspondence.
Enter and maintain accurate customer, sales and order information on company systems.
Liaise with customers regarding orders, deliveries and general account queries.
Assist the sales team with preparing information and documentation for customer meetings.
Support follow-up of quotations, enquiries and sales opportunities where required.
Coordinate internally with relevant departments to help ensure customer requirements are dealt with efficiently.
Maintain accurate and up-to-date customer records.
Provide additional support during busy sales periods, promotions or other commercial activities.

General Office & Administration

Provide general administrative support across the business.
Prepare correspondence, documents, reports and spreadsheets as required.
Carry out data entry and maintain accurate electronic and paper records.
Assist with filing, scanning, photocopying and document management.
Maintain office supplies and stationery and arrange replenishment when required.
Assist with meeting room preparation and coordination of meetings.
Support management and colleagues with general administrative tasks.
Assist with supplier and customer documentation where required.
Help maintain efficient office procedures and identify opportunities to improve day-to-day administration.
Undertake other reasonable administrative duties to support the smooth running of the business.

Customer Service

A high standard of customer service is central to this position. The Receptionist / Administrator will be expected to:

Communicate with customers in a friendly, professional and helpful manner.
Take ownership of enquiries and ensure they are dealt with or passed to the appropriate person promptly.
Build positive working relationships with customers, suppliers and colleagues.
Maintain confidentiality and professionalism when handling customer and company information.
Represent Cooley Healthcare positively at all times.

Skills & Experience

Previous experience in a reception, administration, customer service or sales support role.
Strong organisational and administrative skills.
Excellent telephone manner and interpersonal skills.
Good written and verbal communication skills.
Strong attention to detail and accuracy.
Good computer skills, including Microsoft Outlook, Word and Excel.
The ability to learn and confidently use internal business and customer management systems.
The ability to prioritise tasks and manage several activities at the same time.
A practical, flexible and proactive approach to work.
The ability to work independently while also being a strong team member.
