Job Summary

This Clerical Officer role is for candidates who are fluent in Irish and capable of performing their duties through the Irish language where required. While Irish may not be used on a full‑time basis, its use will depend on the business needs of the relevant department.

Clerical Officers in Galway City Council provide administrative and customer service support as part of multi‑disciplinary teams across both front‑line and internal services. The role requires strong administrative abilities, effective communication skills and a professional, customer‑focused approach.

The Clerical Officer will normally work under the direction and management of a Staff Officer, Senior Staff Officer or Administrative Officer which comprise the line management grades and may from time to time be required to deputise for an Assistant Staff Officer or other administrative grade and successful applicants must be willing to take on this challenge.

The ideal candidate will also be a highly motivated person, with a strong sense of commitment to delivering quality public services and shall demonstrate a clear knowledge and understanding of :

Local authority services, its key customers and relationships with other agencies and organisations;
Role of the Elected Member;
Current local government issues;
Public service values and integrity.

The ideal candidate should also have a proven track record in the following areas :

Administration and clerical work;
High level of proficiency in key board skills;
Ability to communicate effectively;
Customer service experience;
Team working;
Operation of IT systems and standard office software packages;
Ability to plan and prioritise work effectively;
Acting on own initiative;
Working under pressure to tight deadlines;

Maintaining confidentiality.

Clerical Officers perform a range of administrative and customer service duties, which may include some or all of the following:

Providing customer service and administrative support to members of the public and internal customers, through face‑to‑face contact, telephone, email and written correspondence
Working as part of a multi‑disciplinary team to support the delivery of the Council’s services
Supporting line managers and colleagues in the day‑to‑day operation of the relevant section
Processing applications, forms and requests for services in accordance with Council policies, procedures and established guidelines
Carrying out a range of general clerical and administrative duties, including filing, photocopying, typing, preparing standard correspondence and documents, maintaining records, and handling internal and external mail
Attending meetings when required and assisting with note‑taking and preparation of routine reports and returns
Operation of the financial system and other local government systems
Undertaking public counter and reception duties as required
Using information technology on a daily basis, including word processing, spreadsheets, email and online systems
Maintaining accurate, up‑to‑date and well‑organised records in accordance with procedures
Checking work carefully to ensure it is completed to a high standard of accuracy and quality, including routine and repetitive tasks
Delivering a high standard of customer service and communicating clearly and professionally with customers and colleagues
Participating in the Performance Management Development System and completing all essential training
Supporting the use of the Irish language in the workplace, including providing services through Irish where required and in accordance with Council policies and service needs

Carrying out any other duties appropriate to the grade that may be assigned from time to time by the designated manager to support the effective functioning of the Department
