We respond to the needs ofpeople experiencing homelessness, women and children subjected to domesticabuse, and we support older people towards healthy, independent ageing. Senior Support Service
COPE Galway SeniorSupport Service supports older people to live healthy, independent andconnected lives in their homes and communities. We provide a range of social,nutritional and practical supports through our community support programme,befriending services and community spaces like Sonas Day Centre and TheBungalow. These are welcoming spaces where older people can meet, receive support,and participate in social and wellbeing activities.
We also offer a premium meal delivery service through Meals4Health,a COPE Galway social enterprise which prepares nutritious, tasty, andaffordable meals and delivers them to people at their homes.
KeyResponsibilities
Customer Care &Service Delivery
- Act as the first point of contact for service users, family carers, and referrers.
- Provide empathetic, informed guidance on meal options, nutrition tips, and lifestyle supports.
- Maintain a high standard of customer service through phone, email, and in-person interactions.
- Monitor and respond to customer feedback, resolving issues promptly and professionally.
Office Administration

Manage daily administrative tasks including data entry, order processing, and record keeping.

Maintain accurate client databases and ensure GDPR compliance.

Coordinate logistics for meal deliveries and seasonal care packages.

Support reporting and documentation for funders and internal stakeholders.
Finance &Accounts Administration

Support finance-related tasks including month-endand year-end accounts administration.

Assist with invoice processing, reconciliation,and budget tracking.

Liaise with finance team to ensure timely andaccurate reporting.
Supervision
- Oversee and support administrative staff and volunteers, ensuring clarity of roles and responsibilities.
- Schedule volunteer shifts and provide onboarding, training, and ongoing guidance.
- Foster a positive, inclusive team culture among staff and volunteers.
- Monitor performance and provide feedback to ensure service quality.
Team &Organisational Support
- Collaborate with the Social Enterprise Manager and wider Meals4Health and COPE Galway team to improve service delivery.
- Contribute to internal communications, marketing campaigns, and impact measurement.
- Participate in team meetings, training sessions, and service reviews.
- Uphold COPE Galways values of respect, compassion, and empowerment.
What we are looking for
Essential
- Proven experience in customer service and office administration, preferably in social care, community development or related field.
- Strong organisational and communication skills, a proven ability to communicate effectively and sensitively with people.
- Ability to foster positive relations with colleagues and other professional agencies.
- Proficiency in Microsoft Office and CRM systems.
- Commitment to supporting older people and social enterprise values.
Desirable

Experience in a health, social care, or community setting.

Familiarity with HSE or public sector administrative structures.

Understanding of nutrition, social connection and wellbeing for older adults.

Experience in leading and motivating a team.
