Job Summary
The Sales & Events Executive will be responsible for managing and converting enquiries for meetings, conferences, corporate events, weddings, celebrations and group accommodation at The Grace, Westport Estate. The role focuses on delivering an exceptional client experience by building strong relationships, conducting client meetings and site inspections, preparing tailored proposals and overseeing each event from initial enquiry through to successful on-site delivery.
As the primary point of contact for clients, the Sales & Events Executive will showcase The Grace as a premier destination, ensuring every opportunity is maximised while delivering outstanding service and creating memorable experiences that encourage repeat business and referrals.
Principal Responsibilities
Sales & Business Development

Respond promptly and professionally to all sales enquiries, maximising opportunities to convert business.

Meet with prospective clients to understand their requirements and present tailored solutions.

Conduct engaging site inspections and property tours, showcasing The Grace and the unique experiences available across Westport Estate.

Prepare personalised proposals, quotations and contracts for meetings, conferences, corporate events, weddings and private functions.

Actively promote accommodation, dining, spa and estate experiences to maximise revenue opportunities.

Support sales initiatives, promotional campaigns and hosted events to generate future business.
Client Relationship Management

Build and maintain strong relationships with corporate clients, event organisers, agents and private customers.

Deliver exceptional customer service from initial enquiry through to post-event follow-up.

Act as the client's primary point of contact throughout the planning process and during their event.

Develop long-term relationships to maximise repeat business and referrals.

Resolve client queries promptly and professionally, ensuring a seamless customer experience.
Meetings & Events

Coordinate all event details from confirmation through to successful on-site delivery.

Prepare function sheets, event orders and all related event documentation accurately and on time.

Liaise closely with Operations, Food & Beverage, Accommodation and other hotel departments to ensure all event requirements are delivered to the highest standard.

Be present on-site during meetings, conferences and events to welcome clients, oversee delivery and ensure every detail meets guest expectations.

Conduct post-event follow-up and gather client feedback to support continuous improvement.
Revenue

Achieve agreed sales, conversion and revenue targets.

Identify opportunities to increase revenue through upselling and cross-selling hotel services.

Maintain accurate records of enquiries, bookings and client communications using CRM and hotel management systems.

Assist with sales reporting, forecasting and enquiry tracking.

Monitor market trends and competitor activity to support future sales opportunities.

Required Experience & Skills

Minimum 2-3 years' experience in hotel sales, event sales, event coordination or hospitality.

Proven ability to convert enquiries into confirmed business and deliver exceptional customer service.

Excellent communication, presentation and relationship-building skills.

Confident conducting client meetings and professional hotel site inspections.

Strong organisational skills with excellent attention to detail and the ability to manage multiple events simultaneously.

Commercial awareness with the ability to identify sales and revenue opportunities.

Proficiency in CRM systems, hotel management systems and Microsoft Office Suite.

Ability to work independently while contributing to a collaborative team environment.

Flexibility to work evenings and weekends as required to support events.
