Full job description

Customer Service & Office Coordinator

Monday–Friday | 9:00am–5:00pm | School Term-Time

We are looking for a confident, friendly and highly organised Customer Service & Office Coordinator to join our small team.

This is a varied role combining customer service, office administration, reporting and coordination. As the first point of contact for the company, you will play an important role in supporting our schools and ensuring their day-to-day queries and administrative requirements are handled efficiently and professionally.

The Role

Your responsibilities will include:

Acting as the first point of contact for customers, dealing with queries by telephone and email
Providing excellent day-to-day support to our schools
Managing the administration involved in onboarding new schools
Updating internal systems with school calendars and other information
Running daily and weekly reports as required
Completing general administration and day-to-day reporting
Assisting with data entry for invoicing and billing
Responding to queries from production staff as they arise
Documenting company processes and procedures
Ensuring process and procedure documentation is accurate and kept up to date
Supporting the wider team with additional administrative tasks when required

About You

The ideal candidate will be confident, personable and comfortable dealing directly with customers and members of the public.

You will:

Have previous experience in customer service and/or office administration
Have excellent customer service skills and an outgoing, friendly personality
Be confident in your own ability and comfortable taking responsibility for your work
Have excellent written and verbal communication skills
Be highly organised with strong attention to detail
Be proficient in Microsoft Word, Excel and Outlook
Have experience creating and maintaining process and procedure documentation
Be comfortable working with systems, reports and data
Be able to prioritise and manage a varied workload
Be flexible and adaptable, with the versatility required when working in a small company
Enjoy working as part of a close-knit team
Be fluent in English

A Role That Works Around the School Year

This is a school term-time position, offering an excellent work-life balance.

The role follows the school calendar, allowing staff to enjoy extended breaks throughout the year, including Easter, summer, Halloween and Christmas.

This makes the position particularly attractive to parents or guardians of school-going children, as well as anyone who values the flexibility and longer breaks offered by a term-time role.

Working hours: Monday to Friday, 9:00am–5:00pm.
