Job Purpose
The successful candidate will play a key role in supporting Fáilte Ireland in the delivery of its Human Resources strategy. The person appointed will provide day to day administrative support and contribute to the long-term development of the Human Resources function with particular focus on workforce planning and resourcing.
Job Description
The Human Resources Division supports the business in delivering a human resources business-partnering model. The range of duties include providing day to day administrative support which will assist the organisation in terms of, recruitment, on-boarding, induction, supporting inclusive, accessible and evidence-based HR practices, HRIS, performance management system, workforce planning, learning and development, equity, diversity & inclusion and safety, health & welfare.

This support role will work within a team with responsibilities in the following key areas:
Recruitment & Selection
Co-ordinate and support the recruitment and selection life cycle.
Liaise with recruiting managers to develop role profiles, person specifications and advertising material.
Set up advertisements and linking with external advertising sites.
Act as the point of contact for all candidates.
Set up interviews and issue relevant correspondence.
Act as note taker at interviews.
Where appropriate, participate as part of interview panels.
Responsible for administration of post interview activity.
Ensure all relevant records, correspondence and documentation are maintained and compliant with Fáilte Ireland policies and procedures.
Administer HR related documentation, such as employment contracts.
Co-ordinate and support onboarding and induction activities for new starters, ensuring a welcoming, accessible and inclusive experience from first contact through the first weeks of employment.
Contribute to policy development in line with best practice and continuously develop and improve the recruitment and selection process.
Support inclusive recruitment practices by helping to ensure role profiles, adverts, candidate communications and selection processes are clear, accessible, bias-aware and consistent.
Support the provision of reasonable accommodations during recruitment and induction, liaising with candidates, hiring managers and the HR team as appropriate.
Human Resource Information System (HRIS) / Applicant Tracking System (ATS)/Data
Ensure all recruitment activity is accurately and appropriately tracked on Fáilte Ireland’s HRIS and ATS.
Maintain accurate recruitment and workforce planning data using HR systems, applicant tracking systems, trackers and reporting tools.
Prepare standard and ad hoc reports, identify trends and support data-informed decision-making across recruitment, workforce planning and HR activity.
Support the use of dashboards, trackers and data insights to monitor recruitment activity, improve processes and support inclusive recruitment outcomes.
Ensure all recruitment activity (i.e. short listing, interview set up) is managed through the ATS.
Advise and train hiring managers on the ATS.
Answering candidate’s technical queries in relation to their online applications.
Administration
Act as the first point of contact for HR related queries.
Research and resolve problems where appropriate.
Ensure relevant HR databases are up-to-date, accurate and comply with legislation.
Provide HR support and advice to employees and line managers, explaining policies and procedures in a timely and effective manner.
Assist the HR team with the development and maintenance of HR policies and processes.
Contribute to HR projects providing support where required.
Provide support to all elements of the HR function.
Provide quality HR reports to HR Team and Line Managers.
Provide support in investigations for disciplinary and grievance procedures.
Raise purchase orders, process invoices and update budget management systems as appropriate.
Responsible use of AI, automation or digital tools to improve HR processes, reporting, candidate experience and service delivery.
Stakeholder / Managing Relationships
Provide first rate customer service to colleagues and candidates.
Develop and maintain relationships with key stakeholders both internal and external.
Carry out all other duties as required and participate as a full member of the Human Resources Team by supporting different work projects, as required, from time to time.
This role may require travel to regional and national locations to support with interviews.
As organisation priorities change and evolve it may be necessary to move team members within the Human Resources team to other roles within the Division, from that which they were originally assigned, and accordingly there is an expectation that team members will participate in upskilling, training and continued professional development opportunities.
Person Specification
In order to be eligible to apply for this role you must have / demonstrate in your application form the following
A minimum of two years’ experience in a Human Resources role that includes a working knowledge of any of following:
HR policies and procedures
Recruitment and selection
Learning and development
Employment legislation
Data protection
Occupational health and safety
Human Resources Information Systems (HRIS)
A minimum of one years’ experience within that includes high-volume recruitment
Proficiency in MS Office
Experience in data management.
Qualifications/Mandatory Training
Desirable Criteria
CIPD membership
A professional Qualification (minimum Level 7 under the QQI Framework) in a related discipline
An understanding of rules and regulations applying to Human Resources in the Public Sector
An understanding of inclusive recruitment practices, reasonable accommodations and accessible communication.
Experience using digital tools, automation, data analytics or technology to improve administrative processes, reporting, service delivery or candidate experience.
Key Competencies
Office Location and Blended Working:
We do not ask for addresses as part of the application process, however it is the responsibility of the candidate to acknowledge the base location of the role. The successful candidate must regularly work from and attend the base office location of the role.
Please note: Remote working from outside the State is not permitted other than in exceptional circumstances. As this role is within the Irish public service, the post-holder must carry out a minimum of 80% of their working time within the State (Republic of Ireland). Candidates who reside in Northern Ireland must be able to meet this requirement.
Selection Process:
Shortlisting will be based on applications and the selection process may involve two competency based interviews. A panel of successful candidates may be formed following the selection process.
