Full Job Description

We are currently seeking a part-time Receptionist / Administrator to join our busy Engineering office. The hours will be approx. 18-20 hours per week and salary will be dependent on experience.

The Ideal Candidate Will Have:

Previous reception or administrative experience would be an advantage, but is not essential.
A professional and friendly manner when dealing with customers, suppliers and colleagues.
Strong communication and organisational skills.
Good attention to detail and accuracy in their work.
The ability to manage a variety of tasks and prioritise workloads effectively.
A good working knowledge of Microsoft Word and Excel.
The ability to work independently while also contributing as part of a team.
A reliable and positive approach to work.

Main Duties and Responsibilities

Responsibilities will include, but are not limited to:

Answering and directing telephone calls.
Greeting visitors and assisting with general enquiries.
Managing incoming and outgoing emails.
Preparing quotations and tender documents.
Preparing, formatting and updating documents using Microsoft Word.
Maintaining and updating spreadsheets using Microsoft Excel.
Filing, scanning, photocopying and general office administration.
Processing post and deliveries.
Assisting with scheduling meetings and managing office calendars.
Maintaining accurate records and company documentation.
Supporting the wider team with administrative tasks as required.
Maintaining project files and drawing registers.
Ordering office supplies and stationery.
Keeping training records and certification records up to date.
Assisting with health and safety documentation.
Managing engineer schedules and site visit bookings.
Any other duties appropriate to the role.
