Position Overview
We are seeking a professional, organised, and proactive Office Administrator / Receptionist to join our consulting engineering office in Bishopstown on a Maternity Leave Cover Contract.
This is a fixed-term position providing cover for a period of maternity leave, working 37 hours per week. The role is ideal for someone who is highly organised and enjoys working in a professional environment. The successful candidate will provide administrative, reception, and invoicing support while ensuring the office runs efficiently and professionally.
Key Responsibilities
Office & Reception Duties
- Act as the first point of contact for clients, visitors, and contractors.
- Answer and direct incoming telephone calls and manage general email enquiries.
- Maintain a professional and organised reception and office environment.
- Coordinate meeting room bookings and assist with meeting preparation where required.
Administrative Support
- Provide day-to-day administrative support to engineers and management.
- Prepare, format, and file correspondence, reports, and documentation.
- Maintain electronic and hard copy filing systems.
- Manage incoming and outgoing post.
- Assist with scheduling meetings and diary coordination as required.
Invoicing & Accounts Administration
- Prepare and issue invoices for completed works in line with agreed fee proposals.
- Liaise with engineers to confirm billing details.
- Maintain accurate records of invoices and payments.
- Assist with monitoring outstanding accounts and follow up where required.
Health & Safety & Compliance
- Ensure visitor sign-in procedures are followed.
- Maintain records in line with company health and safety policies.
- Support office compliance procedures, including GDPR where applicable.
Qualifications & Experience
- Previous experience in an office administration or receptionist role.
- Experience within a professional services, engineering, or construction environment is advantageous.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Strong organisational and multitasking skills.
- Excellent communication and interpersonal skills.
