Career Dynamics is recruiting on behalf of our client, a Solar Energy Company based in the West of Dublin. The role will be based in the Clonee/Damastown area
This is a single-person/stand-alone warehouse role. The role holder will personally manage and undertake the core warehouse activities. This includes receiving goods, checking deliveries, maintaining accurate stock records, organising storage, preparing installation orders, issuing stock, managing returns, coordinating deliveries and maintaining a safe, secure and highly organised warehouse environment. The role is central to ensuring that installation teams have the correct solar panels, inverters, batteries, mounting equipment, electrical materials, tools and associated equipment available for planned installations.
The successful candidate must be comfortable working independently, taking ownership of the warehouse operation and working closely with Operations, Finance, Procurement, Dispatch and Installation Teams. The role holder is the principal person responsible for the warehouse operation and will normally work independently within the warehouse. The role requires someone who is equally comfortable working physically within the warehouse and taking managerial ownership of its organisation, controls and performance.
1. Warehouse Operations Management
- Take full day-to-day responsibility for the organisation and operation of the warehouse.
- Personally undertake goods receiving, checking, put-away, stock movement, picking, packing and dispatch activities.
- Maintain the warehouse in a clean, structured, safe and professional condition.
- Establish clearly designated storage locations for all stock categories.
- Ensure stock is stored securely and in accordance with manufacturer, Company and health and safety requirements.
- Maintain clear access routes, loading areas, pedestrian areas and emergency exits.
- Ensure high standards of housekeeping are maintained at all times.
- Ensure all warehouse opening and closing procedures are completed appropriately.
2. Stock Control
- Maintain accurate records of all stock received, held, issued, transferred, returned or disposed of.
- Ensure every stock movement is supported by the appropriate system entry, documentation or authorisation.
- Carry out regular cycle counts and scheduled physical stocktakes.
- Investigate and report stock discrepancies immediately.
- Maintain accurate stock levels for solar panels, batteries, inverters, mounting systems, electrical components, consumables, tools, PPE and other installation materials.
- Identify slow-moving, obsolete, damaged or excess stock.
- Maintain appropriate minimum and maximum stock levels where agreed with management.
- Provide regular stock reports to management.
- Ensure stock records correspond with physical stock held within the warehouse.
3. Installation Preparation
A key responsibility of the role is ensuring that installation teams receive the correct materials, in the correct quantities, at the correct time. Installation teams arrive at the warehouse each morning for their daily stock allocation. Materials must be picked and ready for each team.
- Review the forward installation schedule.
- Identify stock requirements for scheduled installations.
- Prepare complete installation packs/orders in advance.
- Pick and stage equipment for installation teams.
- Check that materials issued correspond with the installation specification or approved materials list.
- Clearly identify shortages before they impact an installation.
- Escalate potential stock problems to Operations, Procurement and management.
- Support forward planning of stock requirements based on the 10, 20 and 30-working-day installation programme where available.
- Ensure returned materials from installation teams are checked, recorded and returned to stock where appropriate.
4. Goods Inwards
- Receive deliveries from suppliers and transport providers.
- Check quantities and condition against purchase orders, delivery documentation and packing lists.
- Inspect incoming goods for visible damage.
- Record all deliveries accurately.
- Report shortages, incorrect deliveries or damaged materials immediately.
- Ensure goods are appropriately labelled and stored.
- Maintain an organised goods-received area.
- Coordinate with Finance and Procurement where delivery documentation does not correspond with orders.
5. Dispatch & Logistics
- Coordinate the movement of materials from the warehouse to installation teams and operational sites.
- Prepare stock and equipment for scheduled collection or delivery.
- Liaise with Dispatch and Operations regarding installation priorities.
- Coordinate external couriers, suppliers and transport providers where required.
- Maintain accurate delivery and collection records.
- Ensure materials are appropriately secured and protected for transportation.
- Assist with emergency or short-notice material requirements where reasonably practicable.
- Where required, personally undertake Company deliveries or collections using an authorised Company vehicle.
6. Warehouse Systems & Administration
The role combines physical warehouse activity with accurate administration.
- Maintaining warehouse management, inventory or stock-control systems.
- Recording goods received.
- Recording stock issued.
- Processing stock transfers and returns.
- Maintaining delivery and dispatch documentation.
- Filing purchase, delivery and stock documentation appropriately.
- Producing stock availability reports.
- Monitoring outstanding deliveries.
- Maintaining equipment inspection and maintenance records where required.
- Maintaining appropriate warehouse safety documentation.
- Ensuring documentation is complete, accurate and readily available for management review.
7. Procurement & Stock Planning Support
While purchasing authority may remain with Finance, Procurement or Management, the Warehouse & Logistics Supervisor will provide operational information to support purchasing decisions.
- Highlighting stock approaching minimum levels.
- Advising on projected shortages.
- Monitoring supplier delivery performance.
- Identifying recurring stock issues.
- Highlighting damaged or unsuitable products.
- Supporting stock forecasting based upon planned installations.
- Providing physical stock verification when required.
- Liaising with suppliers regarding deliveries, collections and operational queries where authorised.
8. Health & Safety
- Comply with the Company's Safety Statement, risk assessments, SOPs and safe systems of work.
- Wear and maintain all required PPE.
- Ensure warehouse activities are undertaken safely.
- Maintain safe pedestrian and vehicle routes.
- Report hazards, near misses, accidents and unsafe practices immediately.
- Ensure materials are stacked and stored safely.
- Ensure manual handling procedures are followed.
- Carry out or support warehouse risk assessments.
- Ensure fire exits, access points and safety equipment remain unobstructed.
- Cooperate with Company health and safety inspections.
- Maintain appropriate safety records.
- Take reasonable care for their own safety and that of employees, contractors and visitors entering the warehouse.
9. Forklifts & Warehouse Equipment
- Operate forklifts, pallet trucks and other mechanical handling equipment only where appropriately trained, licensed and authorised.
- Complete appropriate pre-use checks.
- Report defects immediately.
- Maintain equipment in a safe and serviceable condition.
- Coordinate servicing and maintenance where required.
- Ensure unsafe equipment is removed from use pending inspection or repair.
10. Security & Asset Protection
The Warehouse & Logistics Supervisor has a particularly important responsibility for safeguarding Company stock and assets because the warehouse is primarily operated by one person.
- Maintaining appropriate warehouse access controls.
- Ensuring unauthorised persons do not enter stockholding areas.
- Ensuring stock is not removed without appropriate authorisation.
- Maintaining control over tools, equipment and high-value stock.
- Immediately reporting missing or damaged stock.
- Ensuring Company keys, access devices and security systems are appropriately protected.
- Cooperating with any investigation concerning lost, damaged or missing Company property.
- Supporting appropriate CCTV, stock-control and security procedures.
11. Returns & Damaged Stock
- Receive materials returned from installation teams.
- Identify whether returned materials are reusable, damaged, defective or unsuitable.
- Record returns accurately.
- Segregate damaged or quarantined materials.
- Coordinate supplier returns where required.
- Maintain records of warranty or defective product returns where applicable.
- Highlight repeated product defects or recurring installation material issues to management.
Essential Experience
The successful candidate should have:
- Significant practical experience within warehousing, stores, logistics or distribution.
- Strong experience of inventory and stock control.
- Experience receiving, checking, storing and dispatching goods.
- Experience working with warehouse or inventory management systems.
- Experience completing stock counts and investigating discrepancies.
- Strong understanding of warehouse health and safety.
- Experience operating mechanical handling equipment.
- Ability to work independently without constant supervision.
- Strong administrative and record-keeping capability.
- Full clean driving licence.
- Fork Lift Licence.
Pay: €45,000.00-€55,000.00 per year
