PERMANENT PART-TIME ADMINISTRATIVE ASSISTANT (GRADE IV)

QUALITY ENHANCEMENT & DEVELOPMENT DEPARTMENT WEST REGION

Introduction:

Corlann West Region provide a community based, person centred service focusing on the needs and abilities of children and adults with intellectual disabilities. The vision of the service is to support people with intellectual disabilities to achieve a full and valued life in their community, in line with best practice both nationally and internationally. Working in partnership with each person supported, their family and communities, we aim to create opportunities for people to have ordinary life experiences and to be closely connected to family and friends. The Role:

The Administrative Assistant will work as part of the Quality Enhancement, Development and Learning Department in Roscommon as part of the West Region team, to provide operational and clerical support to the Human Rights Committees and governance systems and general administrative duties.

The successful candidate will work with all members of these Teams to ensure safe, quality and personalised service. The successful candidate will also be expected to respond to all queries for service provision and forward them on to the relevant staff member as appropriate.

Reporting/Responsible To:

Quality Enhancement and Development Officer/ as designated by the Head of the Department

Qualifications/Experience/Skills:

Essential Criteria

Recognised qualification in Business Management, Business Administration, Secretarial Administration, or a related discipline.

Minimum 4 years' experience providing high-level administrative support to management within the public health sector i.e. HSE, Section 38/39, or similar public-sector environments.

Proven ability to manage sensitive and confidential information with discretion, professionalism, and in compliance with GDPR and data protection requirements.

Excellent organisational, time management, and prioritisation skills, with the ability to manage multiple competing demands and meet deadlines in a fast-paced environment.

Strong attention to detail with experience maintaining accurate records and documentation.

Excellent written and verbal communication skills, with the ability to engage professionally with internal and external stakeholders.

Advanced proficiency in Microsoft Office Suite, including Outlook, Word, PowerPoint, Teams, Publisher and Canva, with at least intermediate-level Excel skills.

Ability to produce engaging presentations, posters, educational materials, and accessible information resources

Experience in diary & email management, meeting coordination, minute taking, and preparation of professional correspondence and reports.

Strong IT skills, including experience with document management systems and databases.

Demonstrate initiative, accountability, and ability to work independently while contributing effectively as part of a team.

Flexible and adaptable approach, with the ability to respond positively to changing priorities.

Full clean driver's licence.

Desirable Criteria:

Experience of working with people with disabilities is an advantage.

Working Hours:

17.5 hours per week based on a 5 day roster. Flexibility in relation to your hours of work will be required in order to meet service needs.

Contracted hours of work are liable to change between the hours of 8am and 8pm to meet the requirements of the service.

The Corlann model of service is based on Personal Outcome Measures requiring employees to be flexible in their working hours to provide a quality service delivery for each individual

Annual Leave:

26 days per annum pro rata.

Remuneration:

Department of Health Grade IV salary scale (01/06/26) - 36,470 x 9 increments - 52,757 (Max) per annum pro rata.

LSI 1 54,367 per annum pro rata is payable after 3 years on the maximum of the scale. LSI 2 56,018 per annum pro rata is payable after a further 3 years.

Tenure:

This post is permanent, part-time and pensionable.

Probation:

A probationary period of nine months from the date of appointment applies to the post. The employment may be terminated at any time during the probationary period should the employer find that the appointee is unsuitable to continue employment. The probation period may be extended at the Employers discretion.

Travel:

A full clean driving licence and use of a car is an essential requirement of the post.

The person appointed must provide his/her own car and must furnish an indemnity from Insurers in favour of the employer. Travelling expenses at the appropriate rate will be paid in respect of travel necessarily performed in the discharge of duty and in accordance with our Travel Policy. The travel base for this purpose will be QED Corlann Offices, Roscommon Town, Co. Roscommon This may be subject to change in the future.
