ABOUT VITAL WELLNESS

Vital Wellness is a new wellness business preparing to open in Dublin. Although the brand is new, the team behind it brings many years of hands-on experience in wellness, client care and day-to-day clinic operations.

We are creating a calm, professional and welcoming environment where every client feels valued and well cared for from the moment they arrive.

POSITION OVERVIEW

We are looking for a friendly, organised and client-focused Clinic Receptionist to join our Dublin team.

As the first point of contact for our clients, you will play an important role in creating a positive experience and helping the clinic run smoothly. The position involves providing excellent customer service, coordinating appointments and supporting the team with administrative duties.

This role is ideal for someone who enjoys helping people, communicates clearly and has a genuine interest in health and wellness.

KEY RESPONSIBILITIES

Welcome clients and create a warm, calm and professional first impression.
Manage appointments and support the efficient use of treatment rooms and practitioners’ time.
Answer phone calls, respond to emails and handle client enquiries promptly and professionally.
Maintain accurate and confidential client records in accordance with GDPR requirements.
Process payments, issue receipts and assist with billing or insurance administration where required.
Keep the reception area, waiting areas and other client-facing spaces tidy, stocked and welcoming.
Assist practitioners and other team members with general administrative duties.
Provide clients with clear information about treatments, wellness programmes and special offers.
Order supplies, manage client forms and support the smooth day-to-day operation of the clinic.

QUALIFICATIONS AND SKILLS

Previous experience in reception, front desk, hospitality, retail or another customer-facing role is preferred.
Experience in a healthcare, beauty or wellness environment would be an advantage.
Excellent spoken and written English.
Friendly, approachable and professional communication skills.
Strong organisational skills and the ability to manage several tasks at the same time.
Confidence using office software and learning appointment-booking or clinic-management systems.
Strong attention to detail when handling appointments, payments and confidential information.
A dependable, positive and team-oriented attitude.
Mandarin or another additional language would be an advantage but is not essential.
