Fingleton White provide multidiscipline engineering services for the energy industry. We provide a full range of design, construction and commissioning services and are active across many sectors including Renewables, Gas Networks, Water, Energy & Utilities, and Asset Management. The company is responsible for planning and development of some of the most significant projects in the energy sector in Ireland. The Role....

Facilities Coordinator - REF: 2635a

We are seeking a Facilities Coordinator to ensure the smooth, safe, and efficient day-to-day operation of our office facilities and equipment across eight locations in the UK and Ireland. The successful candidate will serve as the primary point of contact for employees, contractors, and management on all matters relating to the maintenance, functionality, and operation of our office environments.

Key Responsibilities:

Oversee the day-to-day operations of office facilities across all UK and Ireland locations
Coordinate planned and reactive maintenance to ensure offices remain safe, functional, and well maintained
Manage relationships with landlords, property management companies, contractors, and service providers
Coordinate office repairs, maintenance visits, and equipment servicing
Ensure compliance with health and safety legislation, including inspections, risk assessments, and statutory maintenance
Maintain accurate facilities records, including maintenance schedules, compliance documentation, and asset registers
Management of IT equipment including activities related to on-boarding and off-boarding of employees
Order and maintain office supplies, furniture, and facilities-related equipment
Respond promptly to facilities requests and issues raised by employees, ensuring timely resolution
Support business continuity planning by coordinating facilities-related contingency arrangements
Ensure office kitchens, meeting rooms, communal areas, and welfare facilities are maintained to a high standard
Liaise with internal teams on office infrastructure and workplace requirements
Support the onboarding of new offices and the closure or relocation of existing sites as required
Conduct regular office inspections and identify opportunities to improve the workplace environment and employee experience
Develop and maintain strong working relationships with internal stakeholders to ensure facilities services meet business needs
Assist with procurement and contract renewals for facilities services and suppliers

The location for this role will be in Portlaoise

The Candidate....

The ideal candidate is a highly organised and proactive individual with excellent problem-solving skills and a strong customer service mindset. They are comfortable managing multiple priorities across several office locations and can build effective relationships with colleagues, contractors, and external suppliers.

They will have:

Previous experience in a Facilities Coordinator or similar workplace/facilities management role
Experience coordinating facilities across multiple sites (desirable)
A good understanding of health and safety legislation and facilities compliance requirements
Strong organisational and time management skills, with the ability to prioritise a varied workload
Excellent communication and interpersonal skills, with the confidence to work with stakeholders at all levels
Experience managing external suppliers, contractors, and service providers
The ability to identify issues, recommend practical solutions, and see them through to completion
Good financial awareness, including experience managing budgets, purchase orders, and invoices
Proficiency in Microsoft Office applications, particularly Outlook, Excel, Word, and Teams
A flexible, hands-on approach and willingness to travel as required between offices in Ireland and occasionally the UK
A full driving licence and own transport is required
