Job Description: Office and Reception Manager

Location: Dublin, Ireland

Reporting to: EHS & Facility Manager

About the Role

The Office & Reception Manager provides high-level administrative and operational support to senior leadership while ensuring efficient day-to-day office operations. This role serves as a key partner to the Managing Director, managing priorities, coordinating communications, and maintaining a professional and organized work environment. The position requires strong judgment, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

Executive Support:

Provide comprehensive administrative support to the President, including calendar management, meeting coordination, and travel arrangements.
Manage complex travel logistics, including flights, accommodations, transportation, itineraries, and expense reporting.
Serve as primary point of contact between executive leadership and internal/external stakeholders.
Prepare reports, presentations, and correspondence on behalf of leadership.

Office Operations & Administration

Oversee daily office operations, including supplies, vendor coordination, and facilities management.
Coordinate office maintenance, repairs, and workplace services.
Monitor office budgets and track expenses.
Organize company meetings, events, and team activities.

Coordination & Organizational Support

Support onboarding activities, including coordination of new hire setup and office orientation.

Qualifications, Experience & Skills

Proven experience as an Executive Assistant, Administrative Assistant, or Office Manager supporting senior leadership.
Exceptional organizational and time management skills with the ability to manage competing priorities.
Strong interpersonal and communication skills, both written and verbal.
Ability to handle sensitive and confidential information with professionalism and discretion.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong problem-solving skills and ability to work independently.
Ability to adapt to changing priorities in a fast-paced environment.
Leaving Cert. required; associate or bachelor's degree preferred. Basic knowledge of budgeting or expense tracking preferred.
