About the Role
The Office & Reception Manager provides high-level administrative and operational support to senior leadership while ensuring efficient day-to-day office operations. This role serves as a key partner to the Managing Director, managing priorities, coordinating communications, and maintaining a professional and organized work environment. The position requires strong judgment, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Executive Support:

Provide comprehensive administrative support to the President, including calendar management, meeting coordination, and travel arrangements.
- Manage complex travel logistics, including flights, accommodations, transportation, itineraries, and expense reporting.
- Serve as primary point of contact between executive leadership and internal/external stakeholders.
- Prepare reports, presentations, and correspondence on behalf of leadership.
Maintain confidentiality of sensitive information, communications, and records.

Office Operations & Administration
- Oversee daily office operations, including supplies, vendor coordination, and facilities management.

Coordinate office maintenance, repairs, and workplace services.
- Monitor office budgets and track expenses.
- Organize company meetings, events, and team activities.
Troubleshoot office technology issues and coordinate with IT support.

Coordination & Organizational Support
- Support onboarding activities, including coordination of new hire setup and office orientation.
Qualifications, Experience & Skills

Proven experience as an Executive Assistant, Administrative Assistant, or Office Manager supporting senior leadership.
- Exceptional organizational and time management skills with the ability to manage competing priorities.
- Strong interpersonal and communication skills, both written and verbal.
- Ability to handle sensitive and confidential information with professionalism and discretion.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong problem-solving skills and ability to work independently.
- Ability to adapt to changing priorities in a fast-paced environment.
- Leaving Cert. required; associate or bachelor's degree preferred. Basic knowledge of budgeting or expense tracking preferred.
