Full job description

Introduction:

Future Learning language school was founded in 2013 and is driven by educators. We are a team of experts in the area of Educational Technology with many years of experience in designing and delivering programmes for young people which make best use of teaching and learning through technology. We are actively involved in developing and promoting the effective use of technology in the classroom both in Ireland and throughout Europe. Our approach of Project-Based, Technology Enhanced Learning means that students work together to complete projects through English, using technology where it can help them in reaching their objective.

Overview:

This role sits in the accommodation department of a growing English Language school with year-round adult and young learner centres in Athlone and Dublin, as well as summer centres in Athlone, Dublin, Galway and Tonbridge (UK). The role combines the High School Coordinator function, acting as the main point of contact for assigned High School students during the academic year, with the Accommodation Officer function, recruiting, vetting and placing young learners, and occasionally young adult students, with appropriate host families across the year-round and summer programmes.

Non-Exhaustive Duties

Students

Main point of contact for assigned High School students during the academic year.
Communicate with and monitor the welfare of students, including those placed with host families, and be familiar with and prepared to implement the school's Child Protection procedures.
Respond to student queries and report and resolve any incidents or complaints that may arise in accordance with FL procedures.
Meet students in schools and online (e.g. Zoom) each term to monitor their progress.
Attend parent-teacher meetings where required.
Create regular FL student reports to issue to international agents.
Communicate professionally with international agents regarding their students.
Report directly to the High School manager on high-school related tasks and attend regular team meetings.
Raise any potential or possible child protection issues with the FL Designated Liaison Person.

Host Families

Recruit and maintain suitable host families in different areas, including organising submission of Garda Vetting. Recruitment includes following up on email enquiries, social media campaigns, word of mouth and phone calls, etc.
Visit and vet host families.
Respond to host family queries and report and resolve any incidents or complaints that may arise in accordance with FL procedures.
Monitor and keep a record of feedback from students regarding host families and act on it where necessary. Feedback comes from group leaders during initial briefings and when they raise a query about a host family that is passed to you to action. Feedback is also collected during courses; where it points to a host family issue, it is brought to you to decide on and take action as required.

Group Leaders & Summer Programme

Liaise with the YL Accommodation Manager / YL Summer Centre Manager to solve any issues relating to host family stays and ensure all booking forms are completed accurately and in a timely manner.
Meet visiting group leaders to ensure they are happy with their students' host families, acting to resolve any issues raised.

High School Excursions

Assist with coordination of High School Excursions
Arrange additional regional FL supervised trips where required.

Schools

Build and maintain professional partnerships with schools.
Communicate competently using digital tools for collaboration and record keeping.
Schedule meetings to visit students in school and to meet the International Student Coordinators.

General

Be comfortable using digital tools for communication, collaboration and record keeping, including daily use of Google Workspace (Drive, Sheets, Docs).

Requirements

Experience: Minimum 1-year experience in a similar position.
Skills: Strong technical skills (experience with Google Suite or similar), organised.
Location: Must reliably commute to or plan to be based near location before the start date.
Eligibility: Must be eligible to work in Ireland (EU citizenship or valid work/residency permit).
