The Opportunity We’re looking for a sharp, organised Administrative Officer to become the engine room of our office. As we grow, the volume of quotes, grant applications, scheduling, and customer communication is growing with us – and we need someone who can bring order, pace, and a calm head to it all. This is the role for someone who loves to be the person who makes everything run smoothly: the one who knows where everything is, keeps every job moving, and keeps customers, installers, and suppliers all on the same page. You’ll work closely with the owner and the wider team, and you’ll have the autonomy to genuinely shape how the office runs. What You’ll Be Doing Keeping jobs moving – scheduling installations and surveys, coordinating diaries for the installation crews, and making sure every job has what it needs to go ahead. Owning the paperwork – preparing quotes and proposals, raising invoices and purchase orders, and keeping accurate records of every project from enquiry to completion. Managing SEAI grants – preparing and submitting SEAI grant applications and supporting documentation on behalf of customers, and tracking them through to payment. Being the friendly first point of contact – answering calls and emails, looking after customers, and keeping them updated so they always know what’s happening. Supporting suppliers and the team – ordering materials, chasing deliveries, liaising with subcontractors, and keeping stock and supplier records up to date. Keeping us organised and compliant – maintaining filing systems, health & safety documentation, and customer records in line with GDPR. Helping us get better – spotting where processes can be tightened and bringing ideas to the table as we scale. What We’re Looking For Essential 3+ years’ experience in an administrative, office coordination, or operations support role. Highly organised, with the ability to juggle multiple priorities and hit deadlines without dropping the ball. Excellent written and verbal communication – confident and professional with customers, suppliers, and team alike. Strong IT skills: comfortable with Microsoft Office / Google Workspace, email, and learning new systems quickly. Accurate, detail-focused, and trustworthy with sensitive information. A proactive, can-do attitude – someone who takes ownership rather than waiting to be asked. Nice to have Experience in solar, construction, trades, or a related project-based industry. Familiarity with SEAI grant processes. Experience with bookkeeping or invoicing software (e.g. Xero, QuickBooks).
