Full job description

About the Role -

We are looking for an organised, reliable and proactive Office Administrator / Bookkeeping assistant to join our practice on a permanent and part-time basis.

This is a varied role combining office administration and bookkeeping, and would suit someone who enjoys working independently, takes ownership of their responsibilities and has excellent attention to detail, while also enjoying the flexibility and benefits of part-time employment.

You will play an important role in keeping the day-to-day running of the practice organised and efficient, while also managing a range of bookkeeping and payroll activities.

The role is for 20 hours per week, with some flexibility around how those hours are structured for the right person.

Key Responsibilities -

Office Administration:

Act as the first point of contact for the practice, managing incoming calls, emails and post.
Oversee the day-to-day running of the office and ensure everything operates smoothly.
Coordinate Continuing Professional Development (CPD) events and prepare meeting rooms and ensure Microsoft Teams is set up and functioning for meetings and CPD presentations.
Coordinate office facilities and liaise with external service providers, including IT, telecommunications and office maintenance.
Manage office, kitchen and cleaning supplies.
Maintain an organised digital filing system for client and supplier correspondence, invoices and records.
Assist management with the annual ISO audit process
Monitor debtors and creditors to help ensure outgoing payments are made and incoming are received on time.
Maintain accurate annual leave records.

Finance Administration / Bookkeeping:

Manage the day-to-day financial administration of the practice, including accounts payable and accounts receivable.
Prepare and issue client invoices.
Process staff payroll and complete the relevant Revenue submissions through ROS.
Process staff expenses and associated Revenue reporting requirements.
Prepare and submit bi-monthly VAT returns.
Complete weekly bank and cash reconciliations.
Liaise with our external accountant and assist with their preparation of year-end financial reports.

We are looking for someone who is:

Highly organised and able to manage a varied workload.
Reliable, professional and comfortable working independently.
Confident dealing with clients, suppliers and external service providers.
Well organised, with the ability to manage multiple tasks and meet deadlines
Experienced in bookkeeping and general accounts administration.
Comfortable using Microsoft Office and common digital systems.
Comfortable using BrightPay Payroll & BrightBooks Software
Competent working with online platforms such as ROS, Coupa and Microsoft Teams
A good communicator who is comfortable working with both management and external contacts.

Essential Experience

Previous experience in office administration and bookkeeping/accounts administration is essential.
Experience with payroll, VAT returns, ROS, bank reconciliations and accounts payable/receivable

Desirable

Experience working in a professional services environment would also be beneficial, but is not essential.

Pay: From €24,000.00 per year
