Flexim Group is an international Facilities Management company with a Global Headquarters based in Switzerland. Operating worldwide, with 21 offices in 17 countries and over 886 operations.

We operate in 32 counties with 75 clients with an office in both Shannon and Dublin. FLEXÉIR is a successful provider of facility management services to both Irish and multinational companies. Our focus is on organisations that are keen to change and implement best practice. We currently provide our services to a broad range of sectors including Aviation, Education, Financial, Pharmaceutical, Retail, Manufacturing and Medical organisations.

Role Overview

We are currently recruiting a Lead Technical Facilities Coordinator for one of our clients. This role will be based on site in Dublin City Centre. The role is responsible for coordinating and supervising the maintenance and operations of the facilities infrastructure on site, suiting an individual with strong technical experience in projects and maintenance as well as having an awareness of safety compliance and contractor management. The ideal candidate will strive to maintain operational excellence with a strong focus on the safe execution of works across a multi-building estate.

This role reports to the technical estate manager and sits with a dual client structure, supporting landlord asset obligations and occupier operational requirements.

IE - Lead Technical Facilities Co-Ordinator

Salary: €45,000

Location: Dublin City Centre

Role Responsibilities

Support the day-to-day delivery of facilities management services across the client contract.
Work under the direction of the Technical Estate Manager & Building Manager, providing technical support across all estate-related activities.
Act as a technical point of contact for facilities-related queries, supporting both internal teams and client stakeholders.
Assist with planning and coordination of maintenance, minor works, and technical projects
Collaborate with suppliers, contractors, and internal teams to ensure seamless service delivery.
Monitor maintenance performance and ensure service-level agreements are achieved.
Report on outstanding Work Order and PPMs, following up with the contractors on the status of works
Review contractor documents and ensure all documents are up to date
Authorize and manage Permit to Work systems
Coordinate Subcontractor maintenance visits with Supplier and Client requirements
Complete all site inductions for all Stakeholders/Contractors.
Compile RAMs as required
Compile service reports, upload to the CAFM system and issue to any relevant parties.
Ensure compliance with health, safety, environmental, and building regulations
Conduct regular site inspections
Support in budget monitoring, contractor cost management, and service charge-related reporting.
Support the Technical Estate Manager in driving continuous improvement initiatives and compliance standards across the contract

Role Requirements

3 -5 Years Experience in a Facilities Management Co-Ordinator role or candidate who holds a trade qualification with relevant supervisory or co-ordination experience.
Strong understanding and practical experience in reviewing RAMS and compliance documentation, including Permit to Work (PTW) systems.
Knowledge of health & safety legislation and statutory compliance requirements
Experience managing contractors and overseeing technical works
Experience with CAFM platforms for PPM scheduling, reactive works management, and compliance record keeping.
BMS monitoring activities, including alarm management, fault diagnosis, and liaison with controls engineers to resolve issues (Desirable)
Experience working within a corporate or high-profile client environment (Preferred)
Excellent communication skills with strong written and verbal English
A demonstrated self-starter who can work on their own initiative
