Full job description

Kalico Ltd is one of Ireland’s leading wholesale furniture distributors, supplying retailers with high-quality, affordable furniture across the country. With a strong reputation for reliability, product quality, and customer satisfaction.

We are now growing our team and looking are for reliable, enthusiastic individuals to join us on a part-time basis with a focus on order processing, stock control and invoicing.

The Wholesale Order Processing, Stock Control and Invoicing Officer is responsible for accurately processing wholesale customer orders, maintaining inventory records, and preparing invoices. The role ensures orders are fulfilled efficiently, stock levels are monitored, and customers receive accurate documentation and excellent service.

Key Responsibilities

Wholesale Order Processing

Receive, review, and process wholesale customer orders accurately and efficiently.
Verify product availability and coordinate order fulfilment with the warehouse or sales team.
Communicate with customers regarding order confirmations, delivery schedules, product availability, and any order changes.
Prepare picking lists, packing documentation, and delivery notes.
Monitor outstanding orders and follow up to ensure on-time delivery.

Stock Control

Maintain accurate inventory records and update stock movements within the inventory management system.
Monitor stock levels and notify management of low stock or replenishment requirements.
Receive and record incoming stock deliveries.
Conduct regular stock counts and investigate inventory discrepancies.
Ensure stock is stored, rotated, and handled in accordance with company procedures.

Invoicing and Administration

Generate accurate customer invoices, credit notes, and related documentation.
Ensure pricing, discounts, and customer account details are correctly applied.
Maintain accurate customer, product, and inventory records.
Assist with month-end stock reconciliations and reporting.
File and maintain all order, delivery, and invoicing documentation.

Customer Service

Respond promptly to customer enquiries regarding orders, products, deliveries, and invoices.
Resolve order discrepancies and invoicing issues professionally and efficiently.
Build positive relationships with wholesale customers through reliable service and clear communication.

Skills and Qualifications

Previous experience in wholesale order processing, customer service, stock control, or invoicing.
Strong organisational skills with the ability to manage multiple orders and deadlines.
Excellent attention to detail and accuracy.
Good computer skills, including Microsoft Excel and ERP, inventory, or accounting software.
Strong communication and customer service skills.
Ability to work independently and collaboratively within a team.

Accurate and timely processing of wholesale orders.
Inventory accuracy and minimal stock discrepancies.
On-time invoicing and order dispatch.
High customer satisfaction through responsive service.
Efficient coordination between sales, warehouse, and finance functions.
Compliance with company procedures and documentation standards.

Pay: €17.00-€20.00 per hour
