Job Vacancy: Medical Secretary / Receptionist (Part-Time)

Location: Blackrock Clinic (formerly Galway Clinic)
Hours: Part-time – 24 hours per week
Working Hours: 8:30am – 5:30pm, Monday to Friday (3 days per week, including Wednesdays)

About the Role

We are currently seeking a professional, organised, and personable Medical Secretary / Receptionist to join our team, supporting a private consultant at Blackrock Clinic.

As the first point of contact for patients and visitors, you will play a key role in delivering a welcoming, efficient, and professional front-of-house service while providing essential administrative support to ensure the smooth running of the practice.

Key Responsibilities

Greet and welcome patients and visitors in a friendly and professional manner.
Coordinate patient appointments, clinics, and surgery schedules.
Prepare surgery lists and liaise with admissions regarding surgery and day-case bookings.
Provide administrative support, including scanning, filing, correspondence, and record management.
Answer and direct telephone calls, emails, and SMS enquiries promptly.
Process patient payments using the card terminal and issue receipts.
Receive, sort, and distribute daily post and deliveries.
Maintain a clean, organised, and well-presented reception area.
Work closely with consultants and healthcare professionals to coordinate patient care.
Provide accurate information to patients and visitors in person, by telephone, and via email.
Assist with updating clinic policies and administrative procedures.
Maintain strict confidentiality in all patient and practice-related matters.

Essential Skills and Qualifications

Minimum of 2 years' experience as a Medical Receptionist, Medical Secretary, or in a similar healthcare administrative role.
Excellent organisational, multitasking, and time-management skills.
Strong attention to detail and the ability to prioritise workload effectively.
Proficiency in Microsoft Office Suite.
Experience using office equipment such as printers and scanners.
Professional, proactive, and resourceful approach to problem-solving.
Ability to work independently as well as collaboratively within a team.
Excellent communication and customer service skills.
Fluent written and spoken English.
Full driving licence and access to a car.
Strong understanding of patient confidentiality and professionalism within a healthcare environment.
