Job Vacancy: Medical Secretary / Receptionist (Part-Time)
Location: Blackrock Clinic (formerly Galway Clinic)
Hours: Part-time – 24 hours per week
Working Hours: 8:30am – 5:30pm, Monday to Friday (3 days per week, including Wednesdays)
About the Role
We are currently seeking a professional, organised, and personable Medical Secretary / Receptionist to join our team, supporting a private consultant at Blackrock Clinic.
As the first point of contact for patients and visitors, you will play a key role in delivering a welcoming, efficient, and professional front-of-house service while providing essential administrative support to ensure the smooth running of the practice.
Key Responsibilities
- Greet and welcome patients and visitors in a friendly and professional manner.
- Coordinate patient appointments, clinics, and surgery schedules.
- Prepare surgery lists and liaise with admissions regarding surgery and day-case bookings.
- Provide administrative support, including scanning, filing, correspondence, and record management.
- Answer and direct telephone calls, emails, and SMS enquiries promptly.
- Process patient payments using the card terminal and issue receipts.
- Receive, sort, and distribute daily post and deliveries.
- Maintain a clean, organised, and well-presented reception area.
- Work closely with consultants and healthcare professionals to coordinate patient care.
- Provide accurate information to patients and visitors in person, by telephone, and via email.
- Assist with updating clinic policies and administrative procedures.
- Maintain strict confidentiality in all patient and practice-related matters.
Essential Skills and Qualifications
- Minimum of 2 years' experience as a Medical Receptionist, Medical Secretary, or in a similar healthcare administrative role.
- Excellent organisational, multitasking, and time-management skills.
- Strong attention to detail and the ability to prioritise workload effectively.
- Proficiency in Microsoft Office Suite.
- Experience using office equipment such as printers and scanners.
- Professional, proactive, and resourceful approach to problem-solving.
- Ability to work independently as well as collaboratively within a team.
- Excellent communication and customer service skills.
- Fluent written and spoken English.
- Full driving licence and access to a car.
- Strong understanding of patient confidentiality and professionalism within a healthcare environment.
