PMD Formwork – Liosban Industrial Estate, Galway
PMD Formwork is looking to recruit an experienced and highly organised Administration and Materials Co-ordinator to work from our office in Liosban, Galway.
PMD operates across a number of construction sites, and a major part of our efficiency depends on ensuring that the correct materials, shuttering, formwork panels, plant and equipment are available where they are needed, when they are needed.
This is primarily an office-based coordination role. The successful candidate will work closely with site managers, yard personnel, drivers, suppliers and company management to plan material movements, coordinate deliveries and collections, and maintain clear visibility over stock and equipment across our sites.
The role would suit someone who enjoys organising a busy operation, planning ahead, solving practical problems and communicating with different teams throughout the working day.
Key Responsibilities
- Coordinate the movement of shuttering, formwork panels, materials, plant and equipment between the company yard and construction sites.
- Liaise with site managers each day to identify upcoming material, plant and delivery requirements.
- Prepare and maintain a clear schedule of deliveries, collections and material transfers.
- Prioritise requests based on site urgency, programme requirements and transport efficiency.
- Coordinate company drivers and external hauliers where required.
- Communicate delivery and collection arrangements clearly to site teams, drivers and yard personnel.
- Maintain accurate records of materials and equipment moving between the yard and individual sites.
- Track where shuttering, formwork panels, plant and other reusable materials are located.
- Ensure surplus materials are identified and arranged for return from completed or progressing sites.
- Help ensure returned materials are checked, recorded and made available for reuse.
- Coordinate with the yard team to ensure materials are prepared and ready before scheduled deliveries.
- Identify potential material shortages, scheduling conflicts or delivery delays before they affect site operations.
- Contact suppliers and arrange deliveries of materials where required.
- Review upcoming site programmes and plan material requirements in advance.
- Provide regular updates to management regarding material availability, delivery schedules and any operational issues.
- Support the continued development of more organised stock control, delivery planning and material-tracking systems.
The Ideal Candidate
The ideal candidate will be exceptionally organised, practical and confident communicating with construction site managers, drivers, suppliers and senior management.
This role requires someone who can remain calm in a busy environment, manage several priorities at once and make sensible decisions to keep sites moving.
The successful candidate will be comfortable picking up the phone, following up on requests and ensuring that agreed actions are completed.
Experience in construction, formwork, plant hire, transport, logistics, builders’ providers, agricultural contracting or a similar operational environment would be a strong advantage.
Requirements
- Strong organisational, scheduling and planning skills.
- Excellent telephone and communication skills.
- Confidence dealing with site managers, drivers, suppliers and management.
- Ability to prioritise competing requests based on urgency and operational importance.
- Good practical understanding of construction site requirements.
- Strong attention to detail when recording and tracking materials.
- Comfortable using email, spreadsheets and basic computer-based scheduling or stock systems.
- Ability to anticipate requirements and plan ahead rather than simply react to requests.
- Ability to work independently and take ownership of the coordination function.
- Reliable, decisive and willing to follow matters through to completion.
- Previous experience in construction logistics, materials coordination, transport planning, plant hire or a related role would be an advantage.
- Knowledge of shuttering and formwork systems would be beneficial but is not essential.
- A full driving licence would be an advantage.
Working Hours
This role is designed around an early start and early finish, allowing the successful candidate to coordinate with site teams at the beginning of the construction working day.
The anticipated starting time is 7:00 a.m., with the exact working pattern to be agreed with the successful candidate.
