About the Role
We are looking for a proactive and highly organised Installations Project Manager to play a central role in the smooth running of our installation business. This position sits at the intersection of project coordination and financial administration, providing essential support to both our operational and finance teams. The successful candidate will be a key point of contact for project documentation, job costing, invoicing, and financial reporting across our installation projects.
Key Responsibilities
- Set up and maintain project files from contract award through to final completion, ensuring all documentation is accurate, current, and accessible
- Issue and track purchase orders, subcontractor orders, and variation orders in line with project requirements
- Coordinate with project managers, site supervisors, and installation teams to monitor project progress and ensure administrative milestones are met
- Manage the preparation and submission of project documentation including programmes, RAMS, O&M manuals, handover packs, and completion certificates
- Maintain the project management system and ensure all job records, labour allocations, and material costs are kept up to date
- Track project timelines and flag delays, scope changes, or cost overruns to the project manager or director
- Liaise with clients, main contractors, and consultants regarding project status, documentation requirements, and site access coordination
- Assist with tender administration including collating documentation, managing submission deadlines, and filing returned tenders
- Approve supplier and subcontractor invoices, matching against purchase orders and delivery records prior to approval
- Maintain accurate job costing records, reconciling budgeted versus actual costs on a project-by-project basis and reporting variances
- Manage subcontractor payment applications, retention tracking, and final account reconciliations
- Maintain organized records of all financial transactions, contracts, warranties, and insurance documents
- Manage incoming and outgoing correspondence relating to projects and finance, ensuring timely responses
- Support the procurement process by obtaining quotes, comparing suppliers, and maintaining an approved supplier register
- Collate weekly timesheets and site attendance records for payroll processing
- Assist directors and managers with ad-hoc reporting, presentations, and administrative tasks as required
- Ensure compliance with company policies, GDPR requirements, and document retention procedures
Skills & Experience Required
- Minimum 4–5 years' experience in a project administration, financial administration, or combined role — ideally within the installation, construction, or engineering sector
- Strong working knowledge of accounting principles including invoicing, purchase ledger, job costing, and basic month-end processes
- Proficiency in accounting software such as Sage
- Experience using project management software
- Advanced Microsoft Excel skills; confident working with spreadsheets, formulas, and reports
- Excellent attention to detail with the ability to manage multiple projects and priorities simultaneously
- Strong written and verbal communication skills, with confidence liaising with clients, contractors, and suppliers
- Ability to work independently and use initiative while also contributing effectively as part of a team
Desirable Qualifications
- Bookkeeping/accounting qualification
- Degree in Business Administration, Finance, or a related field
