Full job description

We are looking for an Experienced Office Administrator to join our Admin Team based in Rathnew, Co Wicklow.

The position is permanent, full time and hours are 8.30am to 5pm Mon - Fri.

This is a full-time position, but there may be flexibility in relation to hours (if requested).

The successful applicant will be responsible for the day to day administrative duties for a both service and project teams in the pharmaceutical, commercial & financial sectors. They need to be willing to work in a fast pace environment, be willing to take on new challenges, have initative and be proactive.

The Main Duties include:

Provide day to day operational support to Directors, Senior Managers and the Project Controller as follows:

Assist with planning & scheduling of works in conjunction with Project Managers, Project Controller and Service Manager;
Ensure site inductions (where required) are carried out in a timely manner for both Wilec staff & Sub-Contractors;
Ensure project documentation is completed by relevant personnel. It is the Administrator’s responsibility to collate and hand this documentation over to the Client as needed;
Ensure all service documentation is completed daily by engineers and submitted to client in a timely manner;
Keep up todate records of all services completed on each customer site;
Commissioning documentation;
O&M Manuals;
Liaise with third party vendors (Sub-Contractors) – scheduling works on site, following up with documentation i.e. training certs, commissioning documentation etc.;
Assist in managing/building relationships with the Client;
Any other duties that may be assigned by the Management

Pay: €30,000.00-€38,000.00 per year
