Full job description

Overview:
We are seeking an organised and customer-focused Office Administrator to support the day-to-day operations of our professional beauty and spa brands. The successful candidate will be responsible for customer service, sales support, order processing, stock coordination, and dispatch administration, ensuring a smooth experience for our beauty salon, spa and trade customers.

Key Responsibilities:

Excellent communication skills
Answer incoming telephone calls, emails, and customer enquiries in a professional and friendly manner.
Process wholesale orders accurately and efficiently.
Provide product information and assist customers with purchasing decisions.
Maintain customer records and update account information as required.
Prepare invoices, delivery notes, and other administrative documentation.
Pack and prepare customer orders for dispatch.
Coordinate collections and deliveries with courier companies.
Monitor order status and communicate shipping updates to customers.
Assist with stock control, inventory checks, and reporting discrepancies.
Support the sales team with customer follow-ups and account administration.
Maintain an organised office environment and filing system.
Handle general administrative duties and office correspondence.

Skills and Experience:

Experience within the beauty, cosmetics or spa/wellness sector is desirable
Excellent telephone manner and communication skills.
Strong organisational skills with attention to detail.
Ability to manage multiple tasks and meet deadlines.
Competent in Microsoft Office (Word, Excel, Outlook) and order management systems.
Ability to work independently and as part of a team.
