Part-Time Office Administrator / Receptionist

Location: Cork Signs
Hours: 20 hours per week
Pay Rate: €14.15 per hour

About Us

Cork Signs is a busy and growing signage company with a dedicated team of four, including two in-house graphic designers and a manager. We pride ourselves on delivering high-quality signage solutions while providing excellent customer service and maintaining efficient project management throughout every stage of production.

The Role

We are seeking a highly organized and professional Part-Time Office Administrator / Receptionist to join our team. This is a varied role that will be at the center of our daily operations, ensuring customer enquiries are handled efficiently and that projects progress smoothly from order to completion.

The successful candidate will be the first point of contact for customers, both in person and over the phone, while also providing administrative support to the wider team.

Key Responsibilities

Answer and direct incoming telephone calls professionally.
Welcome customers and visitors to the office.
Respond to customer enquiries via email and in person.
Prepare and issue customer invoices using Wave Accounting software.
Monitor and track jobs to ensure they progress efficiently through production.
Liaise with customers, suppliers, designers, and management regarding job status and updates.
Maintain accurate records and office documentation.
Support the team with general administrative duties.
Ensure excellent customer service at all times.

Essential Requirements

Previous experience in an office administration, receptionist, or customer service role.
Strong working knowledge of Microsoft Office, particularly Excel, Outlook, and Word.
Excellent communication skills, both written and verbal.
Strong organizational skills with the ability to manage multiple tasks simultaneously.
High attention to detail and the ability to work independently.
Professional and friendly manner when dealing with customers and colleagues.

Desirable (But Not Essential)

Experience using printing or signage Management Information Systems (MIS).
Familiarity with production scheduling or job tracking systems.
Experience using Wave Accounting software.
