Grade V Emergency Department (ED) , Mercy Injury Unit Gurranbraher ( MIUG ), Acute Medical Assessment Unit (AMAU) and Pre-Assessment Clinic (PAC)

Purpose of the Post

A key role of Grade V ED/MUIG/AMAU/PAC is to ensure that the administrative function of the Emergency Department, M-UCC, AMAU and Pre-Assessment Unit are managed in an effective and efficient manner while maintaining high standards of clerical practice within the areas. The post holder is expected to achieve and maintain targets as directed by the Healthcare Records Manager, Director of Operations and/or Deputy CEO/CEO

Principal Duties and Responsibilities

Responsibility for the Roster for ED/MUIG/AMAU/PACS clerical staff
Collating and submitting all payroll for ED/MUIG/AMAU/PACS clerical staff to wages
Responsibility to ensure that all employee records are updated and correct including Annual leave, sick leave, parental leave, maternity leave etc
Responsibility for ensuring the ED medical huddle has a representative from the clerical team daily and any changes to be completed on iPMS in a timely manner
Responsibility for ensuring that new clerical staff are fully trained in all areas. Developing a training plan and completing/ signing off on work orientation.
Completing Back to work interviews after sick leave and any disciplinary meetings for all staff
Complete Performance achievement reviews with all staff
Complete 3/6/9/12 month probation reviews with new clerical staff
This role may include covering shifts in ED/AMAU/MUIG & PAC and the ability to complete all CO3 duties such as registering/discharging patients, tracking patient records, answering phone queries etc.
Responsibility to ensure processes are followed by staff
Management of all staff under the remit of the role and ensure they always work in a professional manner whereby there is a culture of putting the patient first.
Promoting a positive culture and excellent staff relationship including good employee relations practice at the hospital
iPMS Super-user trainer & iPMS Merges
iPMS Training, refresher training and deliver feedback to staff as and when required
Overall responsibility for all ED /MUIG Kardex files and arranging collections/deliveries from Iron Mountain/Medical Records
Dealing with ED/MUCC/AMAU/PACS billing issues and taking payment where required
Following up on invoicing queries with accounts department and arranging weekly money collections
Liaising with patient accounts office to follow up on admissions/private health insurance forms/credit notes/refunds where necessary
Ensuring all supplies for ED/MUCC/AMAU/PACS are ordered in a timely fashion
Arranging regular maintenance checks for printers and other office equipment
Hygiene audit committee team leader & Complete monthly Internal hygiene audit of ED/MUCC/AMAU/PACS
Full registration/discharge process for patients and ensuring this is done in a timely and accurate fashion
Regular attendance to committee meetings
Assist with on-going department reviews, time and motion studies and cost benefit analysis as required
Support service change and reconfiguration through participation on identified projects
Review work practices and engage in quality improvement plans in line with organizational key performance indicators
Completion of HSE/Hospital/ED/MUCC/AMAU/PACS reports as requested for hospital management
Locate patient records as requested e.g. FOI requests
Support a continuous improvement environment
Liaise with colleagues across all departments in the hospital as required
Manage all mandatory training programs and ensure all staff under the remit of the role are fully compliant.

Eligibility Criteria

Strong leadership skills and minimum 3 years' experience in managing a team
Formal secretarial qualification essential
Ability to work under pressure and to adapt accordingly
Ability to work in a fast paced environment
Proven ability on problem solving
Ability to build strong relationships with colleagues
Excellent organisational and planning skills
Ability to assess and improve processes
IPMS Experience essential
