The Role
We are seeking a Guest Relations Executive to support the day-to-day operations of the Reception department.
You will ensure guests receive a professional, efficient, personalised, and seamless experience throughout every stage of the guest journey.
Key Responsibilities
Arrival and Departure Service
- Carry out arrival and departure duties in accordance with hotel procedures and service standards
- Manage guest check-in and check-out procedures efficiently and accurately
- Maintain accurate guest profiles, billing records, and reservation details within the PMS system
- Process payments, cash handling, and cashiering procedures accurately and responsibly
- Maintain effective shift handovers and ensure operational information is communicated clearly across departments
- Support reservations and pre-arrival administration as required
- Maintain strong knowledge of hotel facilities, services, room categories, promotions, and local attractions
- Manage guest enquiries, requests, preferences, special occasions, and VIP requirements professionally, ensuring all information is accurately recorded and communicated.
Guest Service
- Deliver professional, personalised, and anticipatory service throughout the guest journey
- Build positive relationships with guests through courteous, genuine, and engaging interaction
- Support the coordination of guest preferences, amenities, celebrations, and personalised touches
- Proactively engage with guests to support guest satisfaction and service recovery where required
- Assist in resolving guest complaints and service issues promptly, professionally, and discreetly
- Support the consistent delivery of FINER service standards across all guest interactions
Communication & Coordination
- Operate the hotel switchboard in a professional and efficient manner
- Handle internal and external calls courteously, accurately, and in line with telephone standards
- Ensure guest messages, requests, and communications are accurately recorded and followed through to completion
- Respond to guest emails and written correspondence in a professional and timely manner
- Maintain accurate and effective communication with all departments to support seamless service delivery.
Standards & Expectations
- Maintain a professional, calm, and guest-focused approach, delivering polished service even during busy operational periods and service recovery situations.
- Demonstrate strong attention to detail, organisational ability, and operational awareness
- Build effective working relationships across all hotel departments
- Maintain exceptional grooming, presentation, and professional posture standards
- Follow all hotel procedures, service standards, and health & safety requirements
