Full job description

We are looking for an Office/Service Administrator to join our Team based in our Dublin Office on a Fixed-Term contract for 12-months. Please note that this job is offered fully onsite with no option for hybrid working due to the nature of the tasks and responsibilities involved.

In this vital role, you will act as the backbone of our daily operations, coordinating administrative tasks, optimising workflows, and maintaining a welcoming and efficient workspace. You will be responsible for:

Reception / General Duties

Responsible for ensuring the efficient operation of the internal call desk, including promptly handling all incoming calls and email inquiries.
Sorting and distributing internal and external post, including handling of registered mail.
Distribution of emails in various inboxes to the relevant department contacts.
Liaising effectively with the Service, Installation, and Sales departments to support smooth operations.
Coordinating taxi and courier bookings as needed.
Meet and greet visitors, ensuring they are checked in and out accurately and advising employees of their visitors’ arrival.
Scheduling and overseeing the general maintenance and readiness of meeting rooms.
Monitoring and replenishing office supplies, including stationery and kitchen items.

The Ideal Candidate:

Provide administrative support for:
- Pre-qualification documentation.
- Health & Safety documentation, in coordination with the Health & Safety Advisor.
Assist with the coordination and delivery of external company events.
Maintain high work performance, attendance and punctuality.
Perform Ad Hoc duties as required
