Job Title: Access Administrator

School/Unit: Student Experience: Academic and Student Affairs

Post Title: Access Administrator including SU support role

Post Duration: Fixed Term Contract to 31 December 2028

Grade: IV

Reports to: Disability and Outreach Officer & Student Union

Salary: NCAD Grade IV salary scale: 39,491 (Point 1) - 56,015 per annum

Candidates should note that as per Department of Finance guidelines, entry will be at the first point of the salary scale and the rate of remuneration may be adjusted from time to time in line with government pay policy. Candidates should note that different pay and conditions may apply if, immediately prior to appointment, the appointee is a serving civil or public servant.

Annual Leave: 23 working days per annum. This leave is exclusive of public holidays.

Hours of Attendance: Working hours will be 35 hours per week (net of rest breaks).

Location: This position is based at NCAD, 100 Thomas Street, Dublin

Position Summary:

The National College of Art and Design, Dublin is Irelands leading provider of art and design education. NCAD is based on Thomas Street in Dublins city centre and has a community of 1,500 undergraduate, postgraduate and part-time students engaged in a wide range of study and research across the disciplines of Design, Education, Fine Art and Visual Culture. NCAD has been the most significant provider of art and design education in Ireland for over 250 years and is a Recognised College of University College Dublin.

The Student ExperienceDepartment provides a range of services to students, potential students and external stakeholders. It is a very busy environment with a team of staff working across the areas of Disability and Outreach, Learning and Assistive Technology Support, Counselling, Careers, and Medical Services

The post holder will join the Student Experience team and will be expected to provide a high level of support to prospective and current students, internal colleagues and external stakeholders. Reporting to the Disability and Outreach Officer. The post holder will have a particular brief to work in the Disability and Outreach service.

The NCAD Students' Union provides a range of services to students. The post holder will provide a high level of administrative support to the President and Vice President of the Students Union with support from the Student Experience Manager.

Role Purpose:

This role is a specified purpose role partially funded by the Targeted Enhancement Fund (TEF), this funding is time-bound, and the objectives of the funding are to:

Provide targeted support for initiatives that are critical to the strategic development of NCAD.

Contribute towards enhancement initiatives that will strengthen the performance of NCAD.

To consolidate NCAD's position in the higher education landscape.

Facilitate the development and/or continuation of initiatives that further national policy and priorities.

Principal Duties and Responsibilities of the Access & Students Union Support Administrator:

The principal duties include:

Provide administrative support to the Disability and Outreach Officer in all areas of NCADs Disability and Outreach service including but not limited to:

the Student Assistance Fund, Fund for Students with Disabilities, Scholarships and Bursaries, HEAR/ DARE and other related HEI initiatives.

Contribute to the promotion of the Disability and Outreach Service to internal and external stakeholders

Maintaining/updating the information for the area on the NCAD website

Act as a first point of contact for students seeking to access support through the Access Service.

Provide administrative support, in the work of the Creative Arts Summer School (CASS) and NCADs wider Outreach Programme.

Provide an effective and responsive information and services access point to potential NCAD students and the public and provide a professional service responding to questions and problems in a busy environment.

Provide administrative support, in the work of the Programme for Access to Higher Education (PATH) and other such funded initiatives.

Provide reasonable flexibility in dealing with work allocated within the Academic and Student Affairs Department

Undertake any other duties as may be assigned by the appropriate officer from time to time.

Provide administrative support to the Students Union to assist with promotion and election of Class Representatives working with the National Student Engagement Forum, provide administrative support to operationalising Clubs and Societies, Student Council events and campaigns throughout the year.

Attend operational meetings with college representatives and the Students Union and provide administrative support.

The duties and responsibilities as listed are broadly defined and are not exhaustive. The performance of the entire range of duties is not necessarily confined to any one individual, as the work requires that the staff function in a flexible manner, and work together as a team.

Selection Criteria

Selection criteria outline the qualifications, skills, knowledge and/or experience that the successful candidate would need to demonstrate for successful discharge of the responsibilities of the post. Applications will be assessed on the basis of how well candidates satisfy these criteria.

Mandatory Criteria:

2 years relevant administrative experience (preferably in a third level institution).

The post holder must have excellent interpersonal skills, be a good communicator and have the ability to engage with students as well as internal and external stakeholders.

Good oral and written communication skills.

Proven ability to manage workload and meet deadlines.

Proven ability to work as part of a team in a busy work environment.

Excellent MS Office computer skills particularly in Excel.

High standard of administration, organisational and problem-solving skills and ability to take initiative.

Discretion in handling confidential information and an understanding of GDPR.

Flexibility in responding to the requirements of the post and ability to adapt to a changing environment.

Good attention to detail and ability to work with a high level of accuracy.

Academic qualification at Level 6 or higher on the NFQ or equivalent professional experience or qualification.

Desirable Criteria:

Knowledge and experience of third level structures and procedures.

Good understanding of both socio-economic disadvantage and disability as barriers to education.

Experience of updating content on websites.

A Panel may be formed for this position.
