About OFS:

The Opportunity:

We are now looking for a professional, proactive, and organised Receptionist, who will be the welcoming face of our Naas based office. The primary focus of this role will be to ensure the smooth running of daily operations with a focus on managing our reception area, coordinating logistics and PPE stock distribution, supporting administrative workflows and contributing to internal communications and social media.

Please note that this role will be based in our office 5 days per week.

Office Location: Millennium Park, Naas, Co Kildare

Key Responsibilities:

Reception

Acting as the first point of contact for visitors, staff, and incoming calls.
Maintaining a professional and welcoming reception area.
Coordinating meeting room bookings and office calendars.
Maintaining boardrooms to ensure they are kept presentable and fully stocked.
Assisting in organising office lunches, staff events and ad hoc hospitality.
Preparing high-volume CV administration for Operations when required.

Personal Protective Equipment (PPE)

Assisting with the distribution of PPE and maintaining records of this
Supporting the coordination of DHL and UPS shipments, including the sending and receiving of equipment

Administrative & Operational Support

Working collaboratively with our Houston office regarding calls, mail, and general office coordination.
Monitoring the OFS info email account and allocating messages to the relevant departments in a prompt manner
Handling general requests from Directors and the Operations team.
Ensuring ongoing upkeep and maintenance of office facilities on a daily basis

Requirements of the role:

Previous experience in a Receptionist, front-of-house or customer facing role is essential.
Strong administrative and organisational skills.
Ability to work in our office 5 days a week (Essential)
Friendly and professional communication style, both in person and over the phone.
Proficient in Microsoft Office and CRM systems.
Comfortable handling multiple tasks and priorities in a fast-paced environment.
Proactive approach with a strong sense of responsibility and attention to detail.
Experience with social media content creation and posting is a plus.
Ability to work in the office on a full-time basis
Ability to start immediately
