Clinic Administrator

Part-Time 20 Hours Per Week Flexible Hours

About Meaningful OT

Meaningful OT is a dynamic, purpose-led clinic based in Douglas, Cork, specialising in mental health occupational therapy. Our dedicated team supports children from age 8 through adulthood, providing high-quality, person-centred care that makes a real difference in the lives of the individuals and families we work with. As we continue to grow, we are looking for an experienced and enthusiastic Clinic Administrator to join us on the ground at our clinic space.

The Role

This is an in-person, clinic-based role. You will be the first point of contact for our clients and their families, and a vital part of keeping our clinic running smoothly. Working 20 hours per week with flexible scheduling, you will provide administrative, invoicing, and client-coordination support across all aspects of clinic life.

Key Responsibilities

Manage client intake processes, including enquiries, referrals, and scheduling of appointments
Serve as the warm and welcoming first point of contact for clients, families, and referrers — in person, by phone, and by email
Handle invoicing, payment processing, and financial record-keeping accurately and efficiently
Maintain and update client records and clinic databases in line with GDPR requirements
Coordinate clinic diaries and support the scheduling of the therapy team
Prepare and distribute correspondence, reports, and documentation as required
Manage office supplies, filing systems, and general clinic administration
Support the clinical team with ad hoc administrative tasks as the clinic grows

What We Are Looking For

The ideal candidate will have:

Proven experience in an administrative or office management role — experience is essential
Excellent organisational and time-management skills with strong attention to detail
A warm, professional, and empathetic manner when dealing with clients and families, including children
Proficiency in standard office software (Microsoft Office, Google Workspace and Clinko) and practice/clinic management systems
Experience with invoicing and basic financial administration
Ability to maintain confidentiality and handle sensitive information with discretion
A proactive, can-do attitude and the ability to work independently
Prior experience in a healthcare, therapy, or similar client-facing setting is a distinct advantage
