The B!G Idea is Ireland's award-winning creative thinking education charity, on a mission to ensure every young person, regardless of background, geography, or ability, has the skills, confidence, and networks to thrive in the fastest-changing world we have ever known.
Through online and in-person programmes, workshops, events, campaigns and partnerships, we support young people to explore their (and Ireland's) biggest challenges, develop future-ready skills and build solutions to the issues they care about.
As we continue to grow our impact across Ireland, we are looking for an organised, proactive and values-driven Operations, Finance & Governance Coordinator to help ensure the organisation runs smoothly and effectively behind the scenes.
The Opportunity
This is a central, high-impact role at the heart of the organisation. Working closely with the CEO and team, you will coordinate day-to-day operations, support governance and finance processes, and help ensure the organisation runs smoothly, compliantly and effectively.
In a small and growing organisation, this is a broad generalist role where priorities will shift. The core focus is operations and governance, with support across finance, HR administration and events as needed. You’ll thrive if you enjoy bringing structure to complexity, improving how things work and ensuring nothing falls through the cracks.
What Success Looks Like (6–12 months)
- Core operational processes are clearly documented and consistently used
- Financial admin runs smoothly, accurately and on time
- Board and governance processes are delivered efficiently and compliantly
- Organisational systems (tools, records, policies) are well managed and easy to navigate
- Key risks are identified and tracked proactively
- Events and organisational activities are well-coordinated and delivered within budget
Key Responsibilities
Operations & Systems
- Coordinate day-to-day operational processes across the organisation.
- Maintain and develop organisational policies, procedures and internal documentation.
- Support procurement and supplier management.
- Manage organisational subscriptions, licences and contracts.
- Coordinate IT and systems support with external providers.
- Maintain organisational records and filing systems.
- Proactively identify opportunities to improve efficiency and streamline processes.
Finance & Administration
- Process invoices, supplier payments and expense claims accurately and on time.
- Maintain accurate financial records using accounting software.
- Support the preparation of monthly management accounts and financial reports for the CEO and Board.
- Track budgets and monitor expenditure against approved targets..
- Support the annual audit process and preparation of financial documentation.
- Prepare funding claim documentation and financial information required by funders.
- Liaise with external accountants, auditors and service providers as required.
Governance & Compliance
- Coordinate Board and committee meetings, including scheduling, agendas and meeting papers.
- Take and distribute meeting minutes and track follow-up actions.
- Maintain governance records and organisational registers.
- Support compliance with the Charities Regulator, CRO and Governance Code requirements.
- Assist with annual reporting and statutory filings.
- Support organisational risk management processes and maintain the risk register.
HR & Team Support
- Coordinate recruitment administration and interview scheduling.
- Support onboarding of new staff and contractors.
- Maintain personnel records and HR documentation in line with GDPR requirements.
- Coordinate training, Garda Vetting and mandatory compliance requirements.
- Support staff wellbeing initiatives and team events.
Strategic Events
- Coordinate the research, planning, budgeting and delivery of flagship annual, stakeholder and partner events or strategic launch events.
- Manage the logistics of fundraising and donor cultivation events, including venue sourcing, supplier management and on-the-day operations.
- Negotiating value for money in line with charity procurement standards.
- Build and maintain an events calendar, managing scheduling across all organisational events to avoid conflicts and ensure adequate lead times.
- Manage event registration, ticketing and attendee data in compliance with GDPR and conduct post-event evaluation, to inform future planning.
- Coordinate volunteer and staff involvement at events, including scheduling and on-the-day support.
About You
You are highly organised, detail-oriented and proactive, with a strong sense of ownership. You enjoy building structure, improving systems and supporting teams to operate effectively to do their best work.
You are comfortable working independently, while staying closely connected to a small, collaborative team.
Essential Experience & Skills
- 3+ years’ experience in an operations, administration or coordination role
- Experience supporting financial administration or budgeting processes
- Strong organisational and prioritisation skills with excellent attention to detail.
- Ability to manage multiple workstreams and changing priorities.
- Strong written and verbal communication skills.
- Proficiency in Google Workspace and cloud-based tools.
- Confidence working independently and taking initiative.
- Full clean driving licence with access to transportation (for events).

Desirable
- Experience in a charity, social enterprise or purpose-driven organisation
- Experience supporting governance or Board processes
- Experience coordinating events.
- Familiarity with accounting software (e.g. Xero, QuickBooks)
- Understanding of Irish charity compliance requirements
- Ability to leverage AI tools (e.g. ChatGPT, Claude) to streamline workflows and improve efficiency
