Student Liaison Office/Ambassador

West of Ireland, Galway

The Student Liaison Ambassador is responsible for executing a third level study abroad and immersion program in Galway for third year students arriving to study in Galway
University from the University of Notre Dame in South Bend Indiana throughout the year. The Student Liaison Ambassador serves as the “on-the-ground” liaison between
Notre Dame and the University of Galway and, as such, will act as an ambassador for
Notre Dame. They will have specific responsibility for keeping abreast of new initiatives and module development and other opportunities in the University.

Responsibilities and Duties

The Student Liaison officer is responsible for the successful implementation, stewardship and execution of enrollment of students at the University of Galway, monitoring the academic plans and assuring the students have an authentic experience in Ireland. This role consists of student orientation, a duty of care for the health and well being for the students and coordinations of a cultural immersion program. The role is also responsible for relationship building with faculty and staff at the University of
Galway. Facilitating an international research module and involving students in volunteering opportunities for the duration of the year which includes fall, spring and summer semester inductions; advice for integrating with the Irish third level education system adjusting to life in Galway. The primary responsibilities involve addressing student issues, coordinating social events and ultimately immersing American Students into the Irish culture, landscape and education sphere.

Study Abroad - University of Galway

Based on the University of Galway campus the Student Liaison Officer will be in charge of student life coordination for incoming Notre Dame students studying at the University of Galway. In collaboration with the Academic Director and relevant staff at Notre Dame
International, the Student Liaison Ambassador will assist in orientation sessions, pre-departure meetings and orientation upon arrival. They will liaise with relevant staff at
Notre Dame and University of Galway campuses to ensure the smooth integration of students in terms of academic registration, module accreditation, transfer of credits, accommodation bookings, travel and be present for the students to enhance their study abroad experience. They are a key contact for the University of Galway
Accommodations Office, International Offices and responsible for shepherding key initiatives that involve Notre Dame and Galway such as the Biseach Initiative (Cancer
Research).

The Student Liaison Ambassador will be enthusiastic about working with students and will be responsible for facilitating positive group dynamics from arrival to departure.
They will be responsible for logistics pertaining to undergraduate programming, which includes pre-departure communication, orientation, Health and Safety inductions and policy implementation.

The Student Liaison Ambassador will serve as a cultural resource for the students providing weekly suggestions for activities in Galway and collaborating with the
Academic Director and the University of Galway faculty to develop a meaningful academic and cultural enrichment program. They will be responsible for organizing and participating in all aspects of programme excursions and events. This will include overnight trips, weekend field trips throughout the year. They will ensure that photographs are taken at all key field trips and events to share on relevant university approved social media. They will be responsible for executing the programs within the program budget and reporting to the Finance Manager based in Notre Dame’s Dublin
Global Gateway.

As the primary contact on the ground, the Student Liaison Ambassador will look after the welfare, health and safety of students and be available for any emergencies at all times. They will be responsible for reporting incidents to the Academic Director and
Notre Dame International as appropriate. They will facilitate regular student feedback and welfare checks, conducting one-to-one meetings during the program and directing students to relevant resources as needed. They will manage student travel records and advise students on formal immigration procedures.

The Student Liaison Ambassador will be a primary point of contact for the Notre Dame
Assistant Director of Study Abroad. They will be responsible for guiding students through the course approval process: directing inquiries about procedures and approvals to the appropriate Notre Dame Department; retrieving relevant syllabi; course enrolment; conversion of Irish University course titles and credits to Notre Dame counterparts; ensuring e-forms are filled out accurately; and reporting to the University
Registrar.

This role will also liaise with the Dublin Global Gateway Program Manager in a manner appropriate to facilitate the collaboration of events that include service work, community based learning, internships and the sharing of academic calendars. They will also facilitate use and partnering with the Notre Dame Newman Centre for Faith and Reason in Dublin in comprehensive and dynamic ways to facilitate shared resources and support. The role also involves working closely with the Kylemore Abbey Global Centre team for the successful delivery of programs and special events, this role may be required to reside in the
Kylemore Abbey Global Centre during certain programs. They will assist with special events at the Kylemore Abbey Global Centre, which may occur on evenings or weekends.

Key Skills:
