Working under the management of the Exams Manager, the Examinations Officer is responsible for the day-to-day coordination of all examinations and award related activity within DBS. He/she will work autonomously and will benefit from the administrative support provided by Exams Administrators in respect of the exams activity related to their areas of responsibility.
Main Responsibilities
Coordinate the relevant processes relating to examinations scheduling and logistics, exam paper delivery, exam paper security, invigilation, arrangements for students with additional needs, board of examiners, conferment of awards.
Oversee the process of preparing for examination boards, release of results, student appeals etc.
Coordinate internal and external examining processes for all programmes in conjunction with relevant colleagues.
Provide guidance to the academic administration teams in ensuring standardisation in implementation of processes and procedures relating to examinations, exam boards, parchments and transcripts.
Liaise with Programme Leaders, Faculty Managers, Programme Managers and the Head of School in the coordination of examinations for all programmes.
Assist the Assessment and Regulations Manager and Quality Assurance officer in documenting standard operating procedures and guidelines relating to examinations and boards of examiners.
Assist the Assessment and Regulations Manager in the completion of quality assurance activities relating to examinations.
Liaise with Quality and Qualifications Ireland and all other relevant stakeholders as appropriate.
Assist in the management of student information and updating of student records.
Coordinate graduation ceremonies in conjunction with the wider Academic Affairs Team.
Communicate examinations related material to students throughout the year.
Provide day-to-day operational support to Programme Coordinators to assist with student queries (e.g. transcripts, queries in relation to marks etc.).
Support the reporting of results to Awarding Bodies.
Oversee the preparation of assessment results for release on the college website.
Organize invigilator training.
Prepare invigilator schedules prior to examinations.
Coordinate the preparation of lecturers and external examiners examination packs post exams.
Process external examiner and invigilator payments and/or expenses.
Any other such duties as commensurate with the post.
Required Skills and Experience:
A third-level qualification, ideally qualified to honours degree level.
Familiarity with requirements for organising examinations and meeting requirements of students and awarding bodies.
Experience of working with management information systems or databases.
Knowledge and experience of working with academic validation requirements.
Demonstrable administrative and organisational skills with the ability to prioritise their work and to meet strict deadlines.
Excellent communication skills and problem solving ability.
Excellent attention to detail and awareness of implications of actions and inactions in the context of examinations coordination.
Proven ability to work within a regulatory framework.
Proven ability to work under own initiative and to provide guidance and direction to others.
Proactive, enthusiastic and student‐oriented approach.
High standard of knowledge and competence with Microsoft Office, including Excel.
Ability to work flexibly in accordance with the requirements of the role.
