Full job description

Office Manager Solar Energy

We are a family-run business operating in the renewable energy sector since 2023. Due to

continued growth, we are seeking a proactive, organised, and personable Office Manager to

join our team. This is a full-time, office-based role with strong opportunities for

development and progression.

Key Responsibilities

Manage day-to-day office operations, ensuring smooth coordination across sales, technical, and installation teams
Act as the main point of contact for customer enquiries via phone, email, and online channels
Guide customers through the SEAI grant process, including account setup and application submission
Prepare and submit required documentation including NC6 / NC7 forms and SEAI portal uploads
Maintain accurate customer records using CRM systems, while contributing to the development and continuous improvement of our in-house systems and processes
Manage payroll, including timesheets, salaries, and commission tracking
Scheduling & Coordination
Schedule site visits, technical surveys, and installations
Coordinate BER assessments and third-party requirements
Manage incoming service requests and allocate accordingly
Commercial & Admin
Prepare client quotations and issue invoices
Track jobs from enquiry through to completion
Support general administrative and reporting tasks
Team & Operations Support
Run daily briefings with technicians and sales team to align schedules andpriorities
Ensure clear communication between office, field teams, and management
Marketing & Online Presence
Manage and schedule social media content and postings
Assist in maintaining the company’s online presence and customer engagement

Candidate Requirements

Strong communication skills (written and verbal)
Highly organised with excellent attention to detail
Ability to manage multiple tasks and prioritise effectively in a fast-paced environment
Proficient in Microsoft Office (Word, Excel, Outlook); CRM experience an advantage
Confident working independently while contributing to a team environment
Professional, friendly, and customer-focused approach
Experience in solar / renewable energy is an advantage but not essential (full training provided)
Experience in administration, scheduling, or office management preferred
