The Role
Mount Carmel Secondary School is a Catholic school for girls, under the trusteeship of the Society of Jesus. We are seeking a highly organized, proactive, and versatile secretary to provide high-level administrative support to the Principal and serve as one of the professional faces of our school.
This is a fully in-person role within our school’s structure. You will be the "right hand" to the Principal, balancing confidential executive support with front-of-house hospitality.
Key Responsibilities
Executive Support & Administration
- Strategic Diary Management: Proactively managing the Principal’s calendar, coordinating meetings with staff, parents, the Board of Management (BOM), and Department of Education stakeholders.
- BOM Support: Assisting in the preparation of agendas, briefing packs, and taking accurate minutes for Board of Management meetings.
- Documentation: Drafting reports, school policies, and newsletters. Maintaining confidential staff and student records via our TYRO system.
Front of House & Reception
- First Point of Contact: Providing a warm, professional welcome to all visitors, parents, and students at the main reception desk.
- Communications Hub: Managing the main phone switchboard and school email account; filtering inquiries and directing them to the appropriate departments.
- Admissions Support: Assisting with the processing of student enrolments and maintaining the school’s waiting lists.

The Ideal Candidate
We are looking for a professional who thrives in a fast-paced, "all-hands-on-deck" environment:
- Experience: Minimum 3–5 years in an administrative or EA role. Previous experience in a school office or handling basic bookkeeping is highly desirable.
- Discretion: An absolute commitment to confidentiality and GDPR compliance.
- Interpersonal Skills: A natural "front of house" personality—calm, welcoming, and capable of managing the morning rush with a smile.
- Technical Proficiency: Strong skills in Microsoft Office and a quick learner of school management software.
- Reliability: As a core in-person role, punctuality and a consistent presence on campus are vital to the school’s daily operation.
Requirements
- Relevant secretarial or administrative qualification.
- Successful completion of the Garda Vetting process.
- Excellent organizational skills and the ability to multitask under pressure.
