Galway SPCA is seeking a part-time Operations & Administration Coordinator to support the day-to-day running of the charity across administration, operations, compliance, and practical coordination.
This role would suit someone who is organised, proactive, detail-focused, and comfortable dealing with a wide range of operational tasks. The successful candidate will help keep key processes on track, provide support to staff, volunteers and trustees, and act as a reliable point of contact for a range of external providers and day-to-day issues.
This is a part-time role and will be based at our Briarhill site. Hours, working pattern and salary will be confirmed during the interview process. This role is intended to provide practical, dependable support across a broad range of organisational needs. The exact balance of duties may evolve over time depending on the needs of the charity.

EXPERIENCE AND QUALIFICATIONS:
Essential:
- 2-3 years’ experience in administration, operations, office coordination, project support, or a similar role
- Experience managing multiple administrative processes and deadlines
- Experience liaising with suppliers, service providers, contractors, agencies, and/ or landlords
- Strong record-keeping, reporting, and organisational skills
- Good IT skills, including confidence using portals, forms, spreadsheets, and email-based coordination
Desirable:
- Experience in the charity, not-for-profit, community, and/ or animal welfare sector
- Experience supporting compliance, governance, insurance renewals, or policy administration
- Familiarity with grant applications, CHY forms, donation platforms, or volunteer documentation
KEY DUTIES INCLUDE:
- Support the day-to-day administration and operational coordination of Galway SPCA
- Manage or support grant applications, submissions, forms, and related documentation
- Coordinate practical movement of supplies, donations, and other items between sites in the most efficient way possible
- Manage key administrative processes such as TRACES paperwork, vehicle records, donation platforms, and CHY forms
- Act as a point of contact for service providers, landlords, and other external partners, and help resolve day-to-day operational issues
- Support annual renewals and reviews, including insurance and other key compliance-related administration
- Provide administrative support to shop supervisors, staff, volunteers, and trustees as required
- Help organise and standardise internal paperwork, templates, policies, and procedures
- Assist with Health & Safety administration and support compliance with legal and organisational requirements
- Support donor acknowledgements, selected fundraising administration, and other organisational priorities as needed
