Overview
We are seeking a motivated and highly organised Business Administrator / Operations Coordinator to support the day-to-day management and growth of a busy national consultancy business.
This is a varied and dynamic role involving client coordination, scheduling, recruitment support, customer care, business development, social media management and general business administration. The successful candidate will play a key role in ensuring efficient operations, maintaining excellent client relationships and supporting continued business growth.
There may be opportunities for hybrid working following successful onboarding and training.
Key ResponsibilitiesClient & Account Management
- Act as a primary point of contact for clients by phone and email
- Coordinate and manage client bookings, assessments and consultancy schedules
- Allocate consultants to jobs based on availability, location and skill set
- Maintain strong professional relationships with existing clients
- Ensure high standards of customer service and client communication
- Follow up on enquiries, quotations and ongoing projects
- Assist in resolving scheduling or service issues efficiently and professionally
Business Operations & Administration
- Manage diaries, scheduling systems and operational workflows
- Maintain accurate client records and internal databases
- Prepare quotations, reports, invoices and business correspondence
- Support procurement and purchase order tracking
- Assist with document formatting and quality control
- Maintain filing systems and ensure compliance with GDPR and confidentiality requirements
- Support internal business systems and continuous improvement initiatives
Recruitment & Staff Coordination
- Assist with recruitment campaigns and advertising of vacancies
- Coordinate interviews and onboarding processes
- Maintain staff availability records and scheduling information
- Liaise with consultants and assessors regarding assignments and logistics
- Support staff communication and operational coordination
Marketing & Social Media
- Assist in managing the company’s social media platforms and online presence
- Develop engaging content for LinkedIn, Facebook, Instagram and company websites
- Support marketing campaigns, promotional activities and business branding
- Assist with website updates and digital content management
- Monitor engagement and identify opportunities to improve online visibility
Business Development
- Support tender submissions, presentations and proposal documentation
- Identify opportunities for new business and client engagement
- Assist in developing relationships with new and existing organisations
- Monitor market trends and competitor activity
- Support strategic growth initiatives and operational development
Essential RequirementsQualifications
- Degree in Business, Management, Marketing, Administration or related discipline

- Ability to create professional documents, spreadsheets and presentations
- Good understanding of cloud-based systems and online collaboration tools
Desirable Skills & Experience
- Experience in customer relationship management (CRM) systems
- Experience with Canva, Mailchimp or similar marketing platforms
- Experience managing websites or WordPress content
- Knowledge of digital marketing and analytics
- Experience coordinating remote or hybrid teams
- Tender or proposal preparation experience
- Experience within healthcare, consultancy or professional services sectors
