Overview
This role is primarily responsible for the administration of all letting requirements as stated below and would be highly beneficial for those looking to pursue a leasing and property management career.
Reports To: Leasing Compliance Manager
Duties & Key Responsibilities
- Conduct tenant relations with the intent of achieving and maintaining a high level of tenant satisfaction
- Ensure all tenant details are correctly entered into the system
- Examine Vacancy report from Yardi on daily basis to keep track of available apartments
- Work closely with Letting Negotiators, Property coordinators and Maintenance team to arrange turnovers
- Ensure all Purchase Orders are raised correctly and in a timely manner to ensure apartments are ready for new move ins/viewings
- Gather quotes from Vendors when needed and ensure works are being carried out as requested
- Process Lease Corrections, gather all the documents via DocuSign and adhere to LC procedure
- Work with Administrative Coordinators to ensure RTB registrations are amended following the approval of Lease Correction
- Notify Revenue team with proof of payments received
- Prepare the following monthly reports: Turnover, Chargeback and Incorrect Deposits and ensure all chargebacks are being processed on Yardi
- Weekly review of tenants that are due to be moved in/moved out on the system
- Prepare termination letters upon receipt of notice of termination from tenants and ensure letters are issued to tenants
- Allocation of Security Deposit on prior tenants subledger on move-out
- Proper administration of all paperwork (scanning, filing etc.)
- Carry out other duties as assigned from time to time by the Manager
- Preparation of monthly Renewals which include creating RPZ’s, Comps and submitting documentation to the online RTB Portal
Qualifications:
- Minimum of 2 - 3 years work experience
- Experience using Yardi would be beneficial
- Strong analytical and problem-solving skills
- Ability to work under tight deadlines, multi-task and prioritize
- Ability to communicate effectively, both oral and written
- Must have strong working knowledge of MS Excel
