Kildare (Leixlip & Maynooth – site-based)</b></p><p><b>Role Type: Full-time</b></p><p></p><p><b>Role Overview</b></p><p>We are seeking a highly organised and detail-oriented Operations Administrator /Project Coordinator to support day-to-day operational activities and site onboarding processes.</p><p>This role blends administration, coordination, and data/reporting, making it ideal for someone with strong Excel skills who enjoys working across multiple teams and ensuring smooth execution of processes.</p><p>You will play a key role in supporting employee onboarding, site access, compliance tracking, and operational reporting while improving efficiency and accuracy across workflows.</p><p></p><p><b>Key Responsibilities</b></p><p></p><p><b>Onboarding & Site Coordination</b></p><ul><li>Coordinate end-to-end onboarding for new hires and contractors</li><li>Manage documentation (e.g., forms, ID verification, system setups)</li><li>Schedule and coordinate site training and inductions</li><li>Conduct welcome sessions and site orientation support (e.g., meet & greet, site walks)</li><li>Ensure all site access requirements are completed (badges, system access, facilities access)</li></ul><p></p><p><b>Administration & Operational Support</b></p><ul><li>Manage and maintain employee records, training compliance, and access permissions</li><li>Coordinate requests across internal systems and stakeholders</li><li>Support travel, expenses, and general administrative processes</li><li>Act as a key point of contact for operational queries</li><li>Maintain process documentation and standard operating procedures</li></ul><p></p><p><b>Data, Reporting & Excel Analysis</b></p><ul><li>Own and maintain operational trackers and reporting dashboards</li><li>Analyse data trends and identify gaps or improvement opportunities</li><li>Produce regular reports on onboarding progress, training compliance, and operational KPIs</li><li>Manage and manipulate datasets using advanced Excel (e.g., PivotTables, formulas, data validation)</li></ul><p></p><p><b>Cross-Functional Coordination</b></p><ul><li>Liaise with internal teams including HR, Finance, Training, and Site Operations</li><li>Coordinate with external vendors or partners where required</li><li>Track actions and ensure timely completion of tasks</li></ul><p></p><p><b>Key Skills & Experience</b></p><p></p><p><b>Required</b></p><ul><li>5+ years’ experience in administration, operations, or project coordination</li><li>Strong organisational and multitasking skills</li><li>Advanced Excel skills (essential)</li><li>High attention to detail and accuracy</li><li>Strong communication skills (written and verbal)</li><li>Ability to manage multiple stakeholders and deadlines</li><li>As this role is based across Leixlip and Maynooth (Co.
