We are expanding our innovative, award-winning team and currently seeking a Receptionist / Administrative Assistant.

The Receptionist / Administrative Assistant is part of the administrative and accounts functions within O’Carroll Engineering (OCE) providing support to the various departments within the organisation.

Main duties:

Act as point of contact for reception function
Provide hospitality for visitor meetings
Creation of MS Excel files ensuring accurate data entry
Inputting Work Order data on internal softwares
Supporting Finance Department in monitoring transactions and data-entry tasks
Supporting Purchasing Department in various functions (requisitions etc.)
Accurate data entry of project details on MS Excel and internal softwares for multiple departments
Reviewing and amending spreadsheets
Booking employee travel arrangements; travel, accommodation, etc.
General administrative support functions e.g. emailing, printing, scanning & shredding of documents
Act as an administration contact and support point for all departments
Ensure compliance with all quality and legislative standards

Minimum requirements:

Proficiency in Microsoft Office, particularly MSExcel, Word and Outlook
Eye for attention to detail and quality assurance
Excellent communication skills
Proven ability to multi-task
Flexibility to move between projects
High level of confidentiality
Positive attitude to assist all departments and a willingness to take on new tasks
Fluency in English language (spoken & written)

You will be expected to attend training courses where necessary to assist you in carrying out these duties.

The Receptionist / Administrative Assistant role requires a minimum of 39 hours per week, Monday to Friday. A reasonable level of overtime may be required to ensure the fulfilment of the requirements of this role.
