Role purpose
To take full ownership of the quotation workstream, from the moment an enquiry arrives to the issue of a complete, professional quotation pack to the customer.
The successful candidate will become the single accountable person for this process running it day to day, improving how it works and being the point of contact internally and externally for the status of any live quotation.
The role suits an engineering or building services graduate with two to three years in a merchant, contractor or manufacturer environment, who wants to build a career in estimating within heat pumps and renewable heating.
Key responsibilities
Enquiry intake and qualification
- Acknowledge every enquiry the same working day and ensure nothing sits unassigned.
- Review incoming drawings and mechanical specifications to establish what falls within our scope and what does not.
- Apply the agreed go / no-go criteria and decline enquiries outside our core business promptly and courteously, without progressing them to pricing.
- Work to an agreed timeframe for specification review, escalating to the senior team member where a judgement call is needed rather than absorbing the time alone.
Technical coordination
- Determine whether a job requires a quick quote or a full SR50 calculation and sign-off, applying the agreed rule, and arrange third-party sign-off where required.
- Submit underfloor heating projects to our supplier for design, manage the turnaround, and check the returned design against the enquiry before it goes to the customer.
- Produce or check radiator schedules and emitter sizing for low-temperature systems.
- Chase all outstanding technical inputs and customer responses so that no job stalls unnoticed.
Sourcing and pricing
- Identify items not held in stock and obtain competitive supplier pricing, running more than one quotation where value justifies it.
- Apply agreed margins and pricing rules consistently, and follow the agreed convention for items not set up on the ERP system.
Quotation production and issue
- Produce quotations in ERP system to the agreed standard.
- Assemble and issue a single, branded quotation pack containing the priced schedule, scope and exclusions, underfloor heating design, radiator schedule, SR50 calculation and product specification sheets as applicable.
- Ensure quotations state clearly what has been priced against our own scope, and where elements of a customer’s specification have been excluded or interpreted.
- Never pass a supplier’s own quotation directly to a customer.
Tracking, reporting and follow-up
- Maintain the quotation tracker so that the status of every live enquiry is visible without having to ask: date received, qualification outcome, quote type, dates sent to and returned from third parties, outstanding information, date quoted, value and outcome.
- Follow up issued quotations and record won, lost and the reason.
- Report weekly on volume, turnaround time, conversion and any bottlenecks.
Improving the process
- Own and maintain the quotation template, standard inclusions and exclusions wording, and the product specification sheet library.
- Identify recurring causes of delay or rework and propose changes.
- Build a set of standard pricing for common configurations to shorten turnaround on repeat job types.
Knowledge, skills and experience
- A qualification in mechanical or building services engineering, energy or a closely related discipline, or equivalent practical experience in heating and plumbing supply or installation.
- Ability to read and interpret mechanical drawings and specifications, and to carry out a take-off from them.
- A working understanding of hydronic heating systems: heat sources, emitters, pipework, pumps, cylinders and basic controls and zoning.
- Sound numeracy and strong attention to detail, this role prices work that the business is then committed to.
- Competent with Excel and comfortable learning quotation and ERP software along with adoption of AI.
- Clear, professional written English for customer-facing correspondence.
- Organised and self-directed, able to run a pipeline of concurrent enquiries at different stages without supervision.
Desirable
- Familiarity with heat pump sizing, heat loss calculation and the SR50 process.
- Knowledge of underfloor heating design principles: circuit layout, pipe spacing, manifolds and flow temperatures.
- Awareness of SEAI grant schemes, BER and retrofit advisory reports.
- Exposure to solar, boilers or wider mechanical services.
Personal attributes
- Takes ownership rather than waiting to be directed. This role exists because the process currently has no owner.
- Comfortable saying no to work that falls outside our scope, and explaining why.
- Persistent in chasing suppliers, third parties and customers for the information needed to quote.
- Willing to challenge a specification or an assumption where the numbers do not look right.
Pay: €45,000.00-€55,000.00 per year
