Receptionist: Job Description
Reports to: Administrator /PIC
Job Type: Full Time, Monday - Friday (Excluding Bank Holidays)
About the
Role:
We are
seeking a friendly, professional, and organized individual to join our team as
a Receptionist at Flannerys Nursing Home. As the first point of contact for our
residents, families, visitors, and staff, you will play a vital role in
creating a welcoming and positive atmosphere for everyone. You will be
responsible for a variety of administrative tasks, ensuring smooth daily
operations and providing excellent customer service.
Responsibilities:
(Not limited to)
· Phone Calls and Enquiries: Answer incoming calls promptly and courteously, direct inquiries to the appropriate staff member, and handle messages efficiently.
· Record Management: Maintain accurate and up-to-date records of visitors, deliveries, and other relevant information.
· Liaison with Staff and Management: Communicate effectively with staff across all departments such as staff nurses, relaying messages, coordinating appointments, and providing administrative support.
· Communication: Write clear and concise emails, letters, and reports. Proactively communicate important information to relevant staff and residents' families.
· Note Taking: Attend meetings and take accurate notes, summarizing key points and action items.
· Administrative Tasks: Assist the Administrator/PIC with various administrative tasks, such as filing, scheduling,and data entry.
· Specific Assistance: Provide additional support as requested by the Administrator/PIC, which may include scheduling events, coordinating resident activities, or assisting with special projects.
·
You may be required to assist
the management with facilitation of any regulatory inspections.
Qualifications:
· High school diploma or equivalent required.
· Previous experience in a reception or administrative role preferred.
· Excellent communication and interpersonal skills, with the ability to build rapport with residents, families, and staff.
· Strong organizational and time management skills, with the ability to prioritize tasks and work efficiently in a fast-paced environment.
· Proficient in Microsoft Office Suite, with strong typing skills.
· Ability to maintain confidentiality and discretion.
· Positive and upbeat attitude, with a genuine interest in serving others.
